Brookhaven National Laboratory's Protection Division (LP) is to serve and protect the Laboratory population by providing response services and technical expertise allowing world class science to occur in a safe and secure environment for the Laboratories population.

The Laboratory Protection Division is seeking an individual to support the Badging Office as an Administrative Assistant. This role verifies and issues ID credentials to employees, contractors, guest/visitors, and other eligible recipients. This position will process UPIV (Uncleared Personal Identity Verification) credentials, enroll, activate, and update HSPD-12 (Homeland Security Presidential Directive 12) credentials. Process clearances, review, and verify documents for data input, enter data in databases (USACCESS, E-APP, CCURE), and coordinate with the GUV Center, and other departments to authenticate and validate requests for access credentials. This position is for a skilled and motivated individual that will perform all functions required to issue access credentials and provide exceptional customer service.

Essential Duties and Responsibilities:

Provide support for Badge Operations in administrative functions, which includes but not limited to:

  • Verify authorization to access the site by consulting the Visitor's database, PeopleSoft, Workday, and the Lab's internal security system (TBIS).
  • Process UPIV (Uncleared Personal Identity Verification) credentials, enroll, activate, and update HSPD-12 (Homeland Security Presidential Directive 12) credentials.
  • Process clearances, review, and verify documents for data input, enter data in databases (USACCESS, E-APP, CCURE), and coordinate with the GUV Center, and other departments to authenticate and validate requests for access credentials.
  • Review source documents and verify authorization for access to all on-site events or activities.
  • Issue temporary photo identification passes.
  • Check Visas, Passports, and all required Immigration Documents for site access.
  • Perform all functions required to issue ID badges for all Laboratory employees, contractors, guests, retirees, and family members.
  • Ensure ID issuance through verification of the recipient's eligibility is performed with a 100 percent degree of accuracy.
  • Encode badges for access using the C-Cure system.
  • Run various reports in the C-Cure system.
  • Maintain files for all badges issued.
  • Respond to questions and resolve problems related to the badging operations; assist customers, provide advice on eligibility requirements, and process applications to determine eligibility.
  • Provide exceptional customer service to the Laboratory population.
  • Collect expired Laboratory badges, enter history into C-Cure system, then destroy badges.

Required Knowledge, Skills, and Abilities:

  • Eight (8) years of experience in substantive and relevant administrative position(s). An associate or bachelor's degree related to the position requirements may offset qualifying experience of 2:1 (experience:college) years.
  • Ability to handle non-routine office matters.
  • Highly efficient, well organized and possess good problem-solving skills.
  • Excellent verbal and written communication skills.
  • Ability to work independently, prioritize workload, and multitask.
  • Ability to identify and resolve issues encountered within own area of responsibility, act proactively to develop solutions and provide recommendations to avoid problems.
  • Excellent interpersonal and customer service skills, collaborative, and team oriented.
  • Proficient in Microsoft Office software suite (Outlook, Word, Excel).

Preferred Knowledge, Skills, and Abilities:

  • Familiarity with C-Cure System, TBIS, Dymo Label (Visitor Badges).
  • Familiarity with Visa, Passports, Immigration Documents.
  • Familiarity with Adobe Professional.

Other Information:

  • Must be able to obtain and maintain a "Q" clearance.
  • Ability to work varied shifts, if necessary (e.g., weekends a few times a year).

Salary offers will be commensurate with the final candidate's qualification, education and experience and considered with the internal peer group.
