The Executive Assistant provides comprehensive executive and administrative support to leadership and teams within the Acquisition Hub (Acq Hub) under SSC's AC Directorate. This role enables mission execution by managing calendar and meeting operations, correspondence, task tracking, travel and event coordination, senior-leader engagements, document preparation, and stakeholder communications across government, industry, and mission partners. The EA is expected to operate with exceptional discretion, responsiveness, and attention to detail in a fast-paced acquisition environment.

Responsibilities include, but are not limited to...

Executive & Administrative Support

  • Provide direct administrative support to Acq Hub leadership (e.g., Division Chief/Branch Chiefs and senior staff) including calendar management, meeting scheduling, and day-to-day coordination
  • Serve as the primary point of contact for administrative and scheduling requests from internal SSC organizations and external stakeholders
  • Manage executive correspondence: draft, format, route, and track emails, memos, letters, and taskers; maintain action item and suspense logs
  • Prepare high-quality documents and presentations (briefs, agendas, read-aheads, minutes, after-action notes) aligned to SSC/DoD standards

Meeting, Event, and Engagement Coordination

  • Plan and coordinate internal and external meetings, including secure/controlled discussions as needed (conference rooms, virtual platforms, visitor logistics)
  • Develop meeting agendas, consolidate read-ahead packages, capture decisions/action items, and follow up on completion
  • Support senior leader engagements such as industry days, working groups, and cross-directorate sessions; manage RSVP lists, materials, and coordination

Task Management & Workflow Support

  • Track leadership taskings and suspense items; maintain and update workflow trackers; ensure timely routing and completion
  • Maintain organized filing systems (digital and, as required, physical) for correspondence, deliverables, and recurring products
  • Provide basic project coordination support such as status updates, report compilation, and deliverable checklists

Travel & Logistics

  • Coordinate travel arrangements and logistics for leadership and staff (as applicable), including itineraries, reservations, and coordination with travel systems and local procedures
  • Assist with visit requests, base access coordination, and visitor support in accordance with applicable policies and processes

Communication & Stakeholder Support

  • Coordinate communications across government, contractor, and mission partner stakeholders with professionalism and tact
  • Assist with onboarding/offboarding administrative actions (workspace, distribution lists, recurring meetings, account requests where applicable)

Tools, Records, and Knowledge Management

  • Use Microsoft 365 tools to maintain operational rhythm: Outlook, Teams, Word, Excel, PowerPoint, OneNote, SharePoint
  • Support knowledge management by maintaining shared folders, SharePoint libraries, templates, distribution lists, and contact rosters
  • Ensure documents are properly version-controlled and prepared for leadership review and approval

  • Active secret security clearance is required
  • Bachelor's degree is required
  • 3+ years of experience providing administrative/executive support (government, DoD, or acquisition environment strongly preferred)
  • Demonstrated experience supporting senior leaders with complex calendars, high meeting volume, and frequent reprioritization
  • Expert proficiency with Microsoft Office/M365 (Outlook, Word, Excel, PowerPoint, Teams, SharePoint)
  • Excellent written and verbal communication skills; ability to draft professional correspondence and meeting products
  • Strong organizational skills with proven ability to manage multiple concurrent priorities and time-sensitive deliverables
  • High degree of professionalism, discretion, and ability to handle sensitive information appropriately.
  • Ability to work independently, anticipate needs, and proactively solve problems

Desired / Preferred Qualifications

  • Experience supporting DoD acquisition organizations or program offices (knowledge of acquisition rhythm, leadership reviews, and task management)
  • Familiarity with common DoD/SSC workflows and administrative processes (e.g., routing packages, read-aheads, executive correspondence)
  • Experience coordinating industry/government engagements, executive-level meetings, or large working groups
  • Knowledge of document quality standards and formatting for DoD briefings and executive communications
  • Strong Excel skills (trackers, simple dashboards, reporting)
