Job Title: Administrative Coordinator

FLSA Status: Full Time - exempt
Reports to: Divisional Director of Development

Schedule: 40 hours, M-F, standard office hours
Supervises: n/a

Rate of Pay: $68,000 - $72,000 USD pay dependent on experience

Position Summary -

The Development Administrative Coordinator provides administrative support to the Intermountain Division Development Department while coordinating volunteer engagement across divisional initiatives.

This position manages volunteer recruitment, onboarding, scheduling, and communication while supporting the Development team with administrative coordination and record management. The role ensures that volunteers are effectively engaged and that administrative systems support the mission and operations of The Salvation Army.

Duties and Responsibilities

Administrative Support



  • Provide administrative support to the Development Department including scheduling meetings, preparing correspondence, and maintaining departmental records.
  • Maintain organized files, databases, and tracking systems related to volunteer and departmental activities.
  • Assist with preparation of reports, meeting materials, and internal communications.
  • Maintain confidentiality of donor, volunteer, and organizational information.
  • Support documentation and record-keeping for departmental initiatives.


Volunteer Coordination



  • Serve as the primary point of contact for volunteers supporting divisional initiatives.
  • Recruit, screen, and onboard volunteers in accordance with Salvation Army policies and procedures.
  • Coordinate volunteer schedules and assignments with divisional programs and departments.
  • Maintain volunteer records, applications, and background check documentation.
  • Ensure volunteers complete required training and orientation.
  • Provide regular communication and support to volunteers to encourage engagement and retention.

Education



  • High school diploma required. Associate or bachelor's degree in nonprofit management, communications, business administration, or related field preferred.


Experience



  • Minimum two years of administrative support experience.
  • Experience coordinating volunteers or working within nonprofit organizations preferred.



Skills and Abilities



  • Strong organizational and administrative skills.
  • Excellent written and verbal communication.
  • Ability to manage multiple tasks and priorities.
  • Proficiency with Microsoft Office (Word, Excel, Outlook).
  • Ability to work collaboratively in a team environment.


Background Check



  • Continued employment will be contingent upon a biennial (every two years) background check that is processed in accordance with The Salvation Army's policies.


Driving

If the position requires driving:



  • The employee must be 21 years old at minimum (for insurance provision) and possess a valid in-state driver's license
  • An MVR will be processed every year in accordance with The Salvation Army's policies


Background Check



  • Continued employment will be contingent upon a biennial (every two years) background check that is processed in accordance with The Salvation Army's policies


Physical



  • Ability to maneuver, to remain in a stationary position, to grasp, push, pull, and reach overhead, to lift 25 pounds, to access and produce information from the computer, to operate telephone, to understand written information
