I. DEPARTMENT INFORMATION




Job Description Summary:
This Special Event Coordinator administrative position provides event support for Collaboratory events between June and October 2026. The role requires long, on-site days during event dates, with limited hours before and after each convening to assist with planning, preparation, and wrapup logistics.
Duties include:

  • Organize supplies and materials in advance of each convening.
  • Transport supplies between the Collaboratory office and convening locations.
  • Set up of event space (e.g., tables, decor, catering, snacks, etc.).
  • Provide on-site logistical support, including supply runs, printing, room resets, clean-up, and basic tech support.
  • Support post-event breakdown and return supplies to the Collaboratory office.
  • Perform other duties as assigned in support of the events.


Requirements

  • Ability to lift at least 25 lbs.
  • Must be available during business hours on one day during the week of:

    • June 15-18, 2026
    • July 20-23, 2026
    • October 5-8, 2026


  • Must be on-site, and fully available between 7 AM - 9 PM (exact hours to be determined) on:

    • June 22-25, 2026
    • July 27-29, 2026
    • October 13, 2026



Additional events may be scheduled during this period. Dates and hours may be expanded upon mutual agreement.
Minimum Qualifications:
Qualified candidates will hold a Bachelor's degree in an appropriate area of specialization. Degree must be conferred by the start date of the position. Degree requirements may be substituted with an equivalent combination of education, training and experience.
