Patient Coordinator - Psychiatry and Behavioral Medicine

Summary

The Patient Coordinator manages incoming calls from individuals seeking to establish care with a behavioral health provider and assists callers in determining appropriate services based on their clinical needs. This role requires knowledge of behavioral health providers at the Medical College of Wisconsin as well as other community resources in order to provide appropriate referrals when needed. The Patient Coordinator is also responsible for registering and scheduling patients for their initial appointments, verifying insurance benefits, and obtaining any required prior authorizations to ensure timely access to care.

Primary Responsibilities
  • Triage incoming new patient phone call requests for services at a State of Wisconsin certified outpatient mental health and substance use disorder outpatient clinic

  • Review and process incoming referrals from Froedtert & Medical College of Wisconsin PCPs, and other specialists for services

  • Apply comprehensive understanding of provider's specialties to ensure patients are scheduled with the most appropriate provider

  • Keeps current with community, county, state, and federal resources related to patient behavioral health needs

  • Develop positive relationships with community resources

  • Demonstrates proficiency in the use of EPIC (electronic medical record)

  • Employs excellent customer service standards while interacting with patients, faculty, colleagues and team members to maximize quality care

  • Participates in staff and team meetings

Knowledge - Skills - Abilities
  • Demonstrates knowledge of fundamental principles of psychiatry and psychology, including familiarity with community resources, sound clinical judgment, and cultural awareness in patient care.

  • Able to assess and triage patients effectively, communicating clearly and logically both verbally and in writing while maintaining reliability, professionalism, and confidentiality.

  • Possesses excellent communication, computer, and organizational skills to manage workflow and coordinate with patients, families, physicians, and interdisciplinary team.

  • Exhibits strong leadership, team-building, and decision-making abilities, with the capacity to prioritize tasks, identify and resolve problems, and delegate responsibilities effectively and efficiently.

Qualifications

Appropriate experience may be substituted for education on an equivalent basis.

Minimum Required Education: Associate Degree

Minimum Required Experience: 2 years

Preferred Education: Bachelor's degree in Psychology, Social Work, Counseling, or related field

Preferred Experience: Prior experience in a clinical setting, combined with a demonstrated interest in supporting the mental health needs of individuals. Familiarity with community resources and social services is a plus. Strong interpersonal and communication skills.

Physical Requirements

Work requires occasionally lifting moderate weight materials, standing, or walking continuously.

Work Environment

Occasional exposure to dust, noise, temperature changes, or contact with water or other liquids. Work is performed in an environmentally controlled environment.

Sensory Acuity

Ability to detect and translate speech or other communication required. May occasionally require the ability to distinguish colors and perceive relative distances between objects.
