*Description*
We are seeking a Business Operations Coordinator to support Statement of Work (SOW) administration, contract processing, and invoice validation activities. This role focuses on coordinating contract documentation, tracking approval workflows, and supporting financial transaction processes to ensure governance, accuracy, completeness, and timeliness. The individual in this role will work with designated stakeholders to facilitate contract lifecycle activities and support operational consistency across SOW and invoice processes. The individual may also be asked to help prepare budget tracking, analysis, and communications for travel, training, and timesheet reporting. Scope of Services / Responsibilities 1. Contract & SOW Coordination *Support entry of SOWs and contract records into designated contract management systems *Review submitted SOW documentation for completeness (scope, timelines, deliverables, approvals, coding) *Confirm alignment between documented SOW details and approved inputs prior to entry *Maintain organized digital records of contract documentation and amendments 2. Approval Workflow Coordination *Track SOWs and contracts through established approval workflows *Coordinate with identified stakeholders to facilitate timely progression of approvals *Support contract execution processes, including document routing and signature coordination *Maintain visibility into approval and execution timelines 3. Invoice Processing Support *Support processing of invoices associated with active SOWs and contracts *Validate invoices against agreed scope, deliverables, and contracted rates *Flag discrepancies (e.g., overages, duplicate charges) for review and resolution *Coordinate with appropriate parties to facilitate issue resolution *Maintain records of invoice processing activities 4. SOW Tracking & Reporting *Maintain a centralized tracker of active SOWs, including status and key dates *Provide status updates regarding approvals, execution progress, and upcoming expirations *Generate reports to support visibility into contract status and lifecycle milestones 5. Cross-Functional Coordination *Interface with designated contacts across Finance, Procurement, Legal, and business teams to support process flow *Provide guidance on required documentation and process steps to facilitate adherence to established workflows *Support adoption and consistent use of contract management tools and processes 6. Process Support & Continuous Improvement *Follow established procurement and financial processes and workflows *Support validation activities to promote accuracy and reduce errors or duplicate payments *Identify and communicate opportunities to improve efficiency, accuracy, and process clarity *Skills* Business operation, Vendor management, Procurement, Operation *Top Skills Details* Business operation,Vendor management,Procurement,Operation *Additional Skills & Qualifications* Required Qualifications *2-4+ years of relevant experience in operations support, contract coordination, procurement support, or finance operations *Experience working with SOWs, contracts, or vendor-related documentation *Strong attention to detail and data accuracy *Familiarity with contract lifecycle management or procurement systems (e.g., CLX, Coupa, Ariba) preferred *Proficiency in Excel or similar tracking/reporting tools *Strong organizational, communication, and coordination skills Preferred Skills *Experience supporting invoice validation processes *Familiarity with procurement and financial workflows *Ability to manage multiple tasks and timelines in a structured environment *Ability to identify and escalate discrepancies or process gaps Engagement Overview *This role is focused on coordination, tracking, and process support activities related to SOW and contract lifecycle management *Work will be performed in alignment with defined processes, tools, and deliverables *The individual will collaborate with designated stakeholders to facilitate timely and accurate completion of required activities *Experience Level* Entry Level *Job Type & Location*This is a Contract to Hire position based out of Charlottesville, VA. *Pay and Benefits*The pay range for this position is $30.00 - $35.00/hr.
