The Journeyman, Billing/Parts, is responsible for supporting daily billing operations as a detail-oriented billing and parts journeymen, ensuring accurate work order entry, invoicing, and cost tracking across multiple systems. Reviews and validates documentation for labor, parts, and vendor services, reconciles discrepancies, and assists with warranty claims and audits. Collaborates with mechanics and foremen to confirm work performed, prepare estimates, and maintain accurate service records. Additionally supports the parts room by maintaining the parts database, issuing parts to mechanics, and helping manage inventory, vendor relationships, and material tracking for equipment and chassis repairs.

Essential Duties:

Billing:



  • Accurately enter work orders into multiple customer billing systems in a timely manner
  • Review, interpret, and validate work orders to ensure accurate billing and proper documentation
  • Process and manage billing for repairs, maintenance, and related services, including billing to vessel lines and customers
  • Ensure accurate coding of labor, parts, and external vendor costs
  • Verify that all parts used are properly recorded and billed
  • Create invoices based on mechanics' estimated labor hours, parts usage, and completed work
  • Generate invoices and track receivables as needed
  • Maintain detailed records of work orders, costs, and service history
  • Reconcile discrepancies between parts usage, labor, and billing
  • Review handwritten mechanic work orders and translate them into accurate system entries and billing documentation
  • Prepare estimates for repairs based on mechanic notes, parts, and labor requirements
  • Manage warranty claims and reimbursement processes, including identifying eligible repairs, submitting claims, tracking, and follow-up
  • Ensure proper documentation and compliance for all warranty claims to maximize cost recovery
  • Assist with audits, reporting, and internal reviews related to billing accuracy and work orders
  • Identify and resolve discrepancies between work orders, parts usage, and billing records
  • Coordinate with mechanics and Working Foremen to clarify work performed and ensure accurate billing and estimates


Parts:



  • Order, receive, and track parts and supplies for chassis and equipment repairs
  • Maintain working knowledge of parts inventory systems (Trimble) and commonly used components
  • Update parts inventory system as parts are used/restocked, including current pricing
  • Issue parts to mechanics for repair jobs and accurately document usage
  • Monitor inventory levels and ensure adequate stock of frequently used parts
  • Monitor vendor pricing and lead times to ensure cost efficiency
  • Build and maintain relationships with parts suppliers and service vendors
  • Negotiate pricing and identify cost-saving opportunities
  • Track and report on parts usage, spend, and trends
  • Work with vendors to source parts as needed
  • Conduct regular inventory audits and cycle counts
  • Coordinate with mechanics and Working Foremen to anticipate parts needs
  • Coordinate logistics for urgent or specialty parts

Minimum Requirements (Education. Experience, Certifications, Credentials):



  • Four years of relevant education, seven years of applicable billing experience, or an equivalent combination of both
  • Strong understanding of mechanical parts and maintenance operations within the marine terminal industry preferred
  • Experience with maintenance or mechanic billing systems, including processing warranty claims and preparing estimates
  • Advanced proficiency in Microsoft Office
  • Strong attention to detail, with excellent organizational skills and accuracy and speed in data entry.


  • Knowledge of ThermoKing, StarCool, Daikin, and Carrier parts preferred


  • Parts room experience and understanding of parts and mechanical terminology preferred
  • Selected candidate will be required to be a member of the IAM Union and will be governed by the applicable bargaining unit agreement.
  • TWIC Card or ability to obtain one.
  • Valid Drivers License.

  • Maintain positive attitude amongst colleagues and terminal personnel
  • Stay focused under high-pressure situations


Physical Working Conditions



  • Requires the full use of the person's hands, arms, and legs
  • Must be physically able to work from gangways, stools, ladders, scissor lifts, and reach all without being afraid of heights
  • Upper body strength to be able to lift heavier parts such as compressors and evaporator coils up to 50 lbs
  • Ability to stand, sits, squatting when necessary
  • Ability to see and hear fast moving equipment
  • Able to work all hours 7 days a week
