Disability Support Services Exam Proctor (Temp)

Department Information
Disability Support Services ( DSS) at The George Washington University recognizes disability in the context of diversity. We work collaboratively with students, faculty and staff across the campus to foster a climate of universal academic excellence, while also promoting disability culture and GW's broader diversity and inclusion initiatives. Reporting to the Senior Accessibility Associate, Test Proctoring, the Exam Proctor is responsible for overseeing testing, ensuring the identity of the test taker and the integrity of the test taking environment during:

Undergraduate and Graduate Final Exams
Saturday, May 2, 2026 through Friday, May 8, 2026

Summary
Test proctoring is testing overseen by an authorized, neutral proctor, who ensures the identity of the test taker and the integrity of the test taking environment. In short, a proctor is a proxy for the instructor, who oversees a test. Test Proctoring Services may be administered through DSS whenever students are unable to arrange to take their exams in class. As defined by the ADA, "testing accommodations are changes to the regular testing environment and auxiliary aids and services that allow individuals with disabilities to demonstrate their true aptitude or achievement level on standardized exams or other high-stakes tests."

Student Check-In & Examination Timing

  • Greet all students professionally upon arrival and verify identity by requesting their GWorld identification card.
  • Start Times: For groups starting simultaneously, aim to begin as close to the scheduled time as possible.
  • Strict End Times: Regardless of an early start, all students must stop at their originally scheduled end time.
  • Exception: The student may stop earlier if they finish the exam before the allotted time expires.


Personal Belongings & Electronics Security

  • Cell Phones: Instruct students to turn off their cell phones. Proctors must visually confirm the device is powered down.
  • Smartwatches: Instruct students to remove any smartwatches from their wrists. Proctors must visually confirm the removal.
  • Designated Area: All personal belongings must be placed on one side of the classroom or testing area, away from the student.
  • Duration: Items must remain in the designated area for the entire duration of the exam.
  • Review the exam cover sheet for specific instructions from the professor. Inform the student of their permitted materials (or lack thereof) and their end time before providing the exam folder to begin.
  • Perform periodic testing area checks every 5-10 minutes.

Student Check-In & AIM System Management

  • Utilize Accessible Information Management (AIM), a unified portal designed for college disability services, to manage all aspects of exam proctoring.
  • Status Updates: Update the student's check-in and check-out status within AIM upon their arrival and departure to ensure real-time tracking of exam starts.
  • Upon completion or at the end of the allotted time, collect all exam materials, ensuring all items are returned to the folder and secured, unless specific instructions allow the student to retain certain portions of the exam.

Handling Exam Inquiries & Clarifications

  • Student Questions: If a student identifies a potential typo or has a general question regarding the exam content, the proctor should seek clarification from the instructor via email.
  • Relaying Information: Once the professor or teaching assistant responds, immediately relay the clarification or instructions to the student.
  • Delayed Responses: If the professor does not respond in a timely manner, instruct the student to write their question or concern directly on the exam itself to be reviewed during grading.

Logistics/Position Information
GW Temps are advised to commute by Metro Rail to the D.C. area. We suggest not bringing your own vehicles to avoid the hassle of finding parking slots and or moving them every 2 hours as per D.C. regulations. There are no parking concessions for Exam Proctors. The train station that connects you directly to the office is Foggy Bottom- GWU.

Finals Week Test Proctoring Hours: 9:00 am - 6:00 pm (Plan to arrive 45 minutes prior to your scheduled test proctoring assignment for the day).
