Salary offers are based on the candidate's equivalent experience and internal equity with other employees within the same job classification. The position is eligible for overtime compensation for all hours worked over 40 in the designated workweek.

The Records Imaging Clerk performs clerical duties, including organizing files, researching databases to locate records, and scanning and indexing records. Using computers, scanners, copiers, and other office equipment, they maintain, update, and retrieve organizational or department records. Records Imaging Clerks may be responsible for the intake and disposition of all documents, as well as for existing files.

We Require

  • Six months of clerical and/or customer service experience

  • High school diploma or GED

  • A combination of post-secondary education and/or job-related experience may substitute for the minimum qualifications on a year-for-year basis

We Also Value

  • One year of clerical and/or customer service experience

  • Previous experience in records scanning and indexing

  • Knowledge of general database principles

  • Experience using OnBase software

Job Contributions

  • Scan and index records into an electronic document management system; purge files as necessary

  • Scan or read incoming documents/materials to determine how and where they should be classified

  • Input data, such as keywords, new or updated information, or document information codes into computer systems to support document and information retrieval

  • Gather materials to be scanned from other divisions and employees

  • Find, retrieve, and make copies of information in response to requests and deliver information to authorized users

  • Sort or classify information according to applicable records retention schedules, guidelines, such as content, purpose, user criteria, or chronological, alphabetical, or numerical order

  • Answer questions about records or files

  • Perform general office activities, such as typing, acting as a receptionist, answering telephones, processing mail, or securing confidential materials

  • Operate scanner and office equipment

  • Provide information, instruction, and/or assistance to the public, other agencies, and/or other County employees

  • Other job duties as assigned

Working Conditions

  • Exerting 20 - 25 pounds occasionally, 10 - 25 pounds frequently, or up to 10 pounds constantly

  • Position is typically office or administrative work and is not substantially exposed to adverse environmental conditions

Machines, Tools, Equipment, Software, and Hardware

Office equipment to include scanners and copier machines.
