The Department of Information Technology is currently seeking a detail-oriented and highly organized Administrative Assistant with a strong focus on purchasing and account payable functions. This position plays a vital role in ensuring the smooth operation of financial and procurement processes within a dynamic County department.


Job Summary

This position will:
*Administer credit cards for the department (process credit card payment coding, reconciliation, maintain credit card records, conduct credit card audits, and maintain the credit card inventory)
*Be detail-oriented and exercise sound judgment in selecting and applying established procedures correctly and in determining when to refer problems to a supervisor or supporting departments
*Distributing invoices for staff approval
*Ordering office supplies
*Issuing Work Orders for facility maintenance
*Prepare requisitions, direct payments, and process invoices utilizing Oracle software
*Advise staff with the review and verification of the accuracy of statements of work (SOW), quotes and invoices
*Provide oversite and coordination of various telecommunication and wireless accounts and associated equipment
*Greeting visitors, answering and transferring incoming calls, distributing mail, and other duties as needed.

*Provide excellent customer service to internal and external customers by phone, email, and in-person; referring customers to appropriate staff as needed

*Apply analytical thinking to identify process improvement opportunities
*Take initiative to support team members, contribute to ad hoc projects, and advance departmental priorities as needed.


Minimum Qualifications

High School diploma or equivalent; three (3) years of related clerical/administrative work experience with computer automated systems and office applications experience; or equivalent combination of education and experience.

Preferred Qualifications:

  • Previous experience in Information Technology organizations, budgeting, planning, and administration with preferred experience in SharePoint, Teams, ServiceNow software, and Oracle Fusion Finance and Procurement modules
  • FinOps Certification(s), Government Financial Manager (CGFM), Certified Procurement Professional (CPP), and Information Technology Infrastructure Library Foundation certification (ITIL)
  • Local government experience


Job Contingencies and Special Requirements

Must undergo pre-employment criminal, credit, and DMV background checks. Valid driver's license and good driving record are required.
