Job Description

The Deposit Ops Specialist is primarily responsible for DDA and CD account requests; this includes opening and closing of the accounts, quality review of all new CD/Safe Deposit Box account setups and maintenance performed by other lines of business. Safe Deposit Box payments are processed and balanced using the Accounting Balancing (ICAP) System. Other functions include resolving customer issues, assisting in tax reporting as it relates to IRS tax guidelines and regulations. Monitors dormant and inactive account activity to ensure the validity of the transaction, determine dormancy on returned statements, and maintain dormant accounts until the account is escheated to the Tax Commission.

How You'll Spend Your Time
  • You will ensure accurate annual tax reporting, including 1099INT, while resolving tax and REG D issues for internal partners and clients.
  • You will maintain CDs and DDAs by processing rate changes, address updates, interest adjustments, and closing requests.
  • You will issue official checks, complete ICAP reconciliation, support audit needs, and conduct monthly North Star official check audits.
  • You will manage dormant accounts by reviewing daily activity, isolating documents, sending notices, and processing escheatment based on state guidelines.
  • You will reconcile monthly IOLTA accounts accurately and on time for remittance to the Bar Foundation.
  • You will handle safe deposit box maintenance, process payments and notices, complete daily ICAPS reconciliation, and resolve IRS Incident Reporting System items promptly.
Education & Experience Requirements

This level of knowledge is normally acquired through completion of an associate degree in business administration or accounting and 1-2 years related experience or 3-4 years' equivalent work-related experience.

  • Excellent organizational and detail-oriented skills.
  • Good critical thinking skills and ability to make decisions for a prompt resolution.
  • Good PC skills including Microsoft Word, Microsoft Excel, Microsoft Teams, and Microsoft Outlook.
  • Good written, verbal, and interpersonal communication skills.
  • Thorough knowledge and understanding of IRS Regulations relating to Tax Reporting.
  • Basic office skills including 10-key, typing 30-40 wpm.
  • Ability to prioritize and meet deadlines in high-pressured environments.
