| Primary Purpose of Organizational Unit |
The Facilities Administration department provides administrative services to the office of Facilities units to include review of processes in purchasing and hiring, planning and budgeting, and the reporting of financial, cost and performance information, inventory management including stocked items and shop supplies. Services include developing and maintaining policies and procedures manuals for each unit; re-engineering administrative processes and work design; compiling plans and assessment data; and assisting with facilities group budgets. Accounting services include management of utility accounts, university-wide billing, and cost studies as directed by the associate vice chancellor and others. This unit is a resource and liaison for the university's Finance, Budget and Human Resource departments, and also serves as a customer care and problem resolution office. |

| Brief Summary of Work for this Position |
The Procurement Coordinator position provides financial support to Facilities. The Office of Facilities operational spending surpasses $9 million annually. This role emphasizes independent program management and the coordination of program policies, procedures and information. The coordinator performs data collection and analysis of raw AiM data to facilitate and process work orders, requisitions, and other procurement methods. This position collaborates closely with the Physical Plant, Purchasing Department, and Accounts Payables to meet campus requirements relating to procuring service contracts, uShop requisitions,
UNCW card purchases, utilization of standing blanket orders, emergency purchase orders, and ensuring the processing of invoices and reconciliation. The position provides crucial communication and coordination of purchases within Physical Plant and the Office of Facilities and coordinates activities with the Procurement Coordinator.
Additional Responsibilities:
- Process AiM work orders to ensure accurate funding, invoicing, and encumbrance information.
- Pull and process multiple daily reports to resolve financial issues which may include: posting errors, feed errors, and liquidation reports.
- Process uShop carts while verifying accurate information to ensure requisitions are created in a timely manner and ensure they feed over to AiM.
- Process receipts from purchases made on standing blanket orders to ensure accurate posting to AiM and uShop.
- Resolve financial issues by working with multiple stakeholders which may include: Purchasing Department, Accounts Payable, and Physical Plant staff to ensure invoices are promptly paid and processed.
- Reconcile open encumbrances to include: uShop, standing blanket purchase orders, service contract purchase orders, and UNCW card purchases.
- Develop and maintain standard operating procedures (SOPs) for department processes and machine/equipment operation.
- Undertake special projects and other duties as required by departmental needs.
This position has been designated as mandatory personnel for the University and may be required to report to work during adverse weather conditions even though the University may be operating on an alternate schedule. |
| Minimum Education and Experience Requirements |
Bachelor's degree in business administration or a related discipline; or an equivalent combination of training and experience. All degrees must be received from appropriately accredited institutions.
