Title: Human Resources Assistant

Duration: 6 Months Contract

Pay rate: $25.00/hr. on w2 Without benefits.

Location: Philadelphia, PA 19122

Shift timings: Monday - Friday, 8:00 a.m. to 4:30 p.m.

Job Description:

  • Coordinate training schedules including ensuring availability of classrooms, equipment, and instructors based on employee interest and room capacity and prepares the physical setup; prepares and distributes training aids such as instructional material, handouts, evaluation forms, and visual aids; confirms attendance with employees and departments; responds to incoming inquiries regarding training policies, procedures and upcoming events.
  • Maintain training related databases tracking systems for programs such as but not limited to tuition assistance, employee progression and performance management; maintenance includes initial data entry, updates, generating routine and ad hoc reports, and maintenance of OD Training website; ensures integrity of all aforementioned systems.
  • Coordinate regular PGW Training Council meetings; prepares agendas, takes minutes and distributes ensuring all committee members are aware of follow-up agenda items; sets up audiovisual equipment and makes presentations when necessary.
  • Assess training interests to determine need for and frequency of additional classes based on classroom capacity, trainer availability and necessary materials; conducts training evaluations, needs assessments, return on investment studies, etc. collects raw data and prepares reports for supervisor's review, analysis and program recommendations.
  • Assist in budget preparation tracking expenses, processing invoice payments and completing and submitting monthly variance reporting. Research the variances for VP approval.
  • Assist supervisor in the development or acquisition of training manuals, guides and course materials such as handouts, visual aids, etc. Organizes, maintains and tracks all resource materials housed in the online/offline Training Library.
  • Assist in developing various program data studies including but not limited to ROI measurement /analysis, needs assessments, gap analysis, etc.; facilitates survey distribution and collection meetings when appropriate; assists supervisor in data analysis and report preparation. Perform other related special assignments and tasks as directed.


Qualifications:

  • High School Diploma/GED and Secretarial Science Certificate.
  • Minimum of 1-years of professional work experience working with highly sensitive information; preferably in a human resources department.
  • Equivalent combination of education and experience may be acceptable in lieu of certification.
  • Undergraduate degree in Organizational Development or related discipline a plus.
  • Must possess interpersonal skills and ability to maintain the highest level of confidentiality and impartiality.
  • Must be detail-oriented with the ability to multi-task and adapt to change while maintaining a professional, customer-friendly demeanor.
  • Must be an effective communicator both verbally and written.
  • Must be proficient in MS Office (Word, Excel, PowerPoint and Outlook).
