Job Description
Serve as administrative support for the McKenzie-Elliott School of Nursing ( SON), using a "customer first" approach. Demonstrate clear evidence of sensitivity to and understanding of the diverse academic, socioeconomic, cultural, disability, and ethnic backgrounds of SON faculty, students, staff, and the community. Use considerable judgment in handling complex and controversial matters, resolving informal complaints when appropriate. Develop strong relationships with customers by listening, understanding, and responding in a calm, professional, and courteous manner to identified needs.
Serve as liaison, with delegated authority, between the chair, faculty, and students by relaying instructions/information; communicate by following the university and SON policies and procedures, HIPAA, FERPA, and accrediting body regulations. Provide accurate information and explanations based on policy guidelines by speaking on behalf of the chair and faculty, as delegated, regarding administrative and programmatic matters.
Maintain and secure all nursing student/graduate files; pre-clinical requirements; clinical evaluations; and admission, progression, and graduation requirements. Maintain faculty employment records and student medical, immunization, CPR, and professional liability records for 200+ students. Maintain regulatory reports and documents as required by accrediting agencies.
Order and receive office/lab supplies and equipment for the SON. Maintain a current inventory list of equipment and supplies. Have a significant understanding of university and state regulations pertaining to the use of budget funds and basic accounting practices. Prepare a budgetary status report to the chair of all expenditure budget information for SON.
Competent in Microsoft Word, PowerPoint, Publisher, Outlook, SharePoint, Excel, and other computer-related programs. Research and compile data for reports. Demonstrate ability to analyze and anticipate situations, define problems and objectives, recognize alternatives, and formulate solutions. Assist with the planning of SON partnership meetings, ceremonies, and traditions (invitations, programs, room reservations, and setups).
Assimilate from oral or written sources a broad knowledge of the university, SON, and external agencies. Demonstrate flexibility and excellent organizational skills with the ability to prioritize work and function independently, completing various tasks accurately and with close attention to detail under the pressure of deadlines with frequent interruptions or distractions.
Compose correspondence on own initiative on matters not requiring personal responses of the Chair and faculty. Plan, schedule, arrange, and organize travel, business appointments, and special events for the Chair, individual faculty, and the SON as a whole. Assist with the preparation of grant applications, proposals, letters, and other associated materials as requested by any faculty to meet prescribed deadlines.
Assist the chair and undergraduate and graduate directors with admission, validation of previous nursing education, and the graduation process, to include writing and mailing admission letters, rejection letters, and wait-list letters and compiling and collecting forms from admitted students.
Other tasks will be assigned as needed.
Management Preference
An associate's degree in office management and 3 years of office experience are preferred.
