SUMMARY: The Provider Services Manager is responsible for overseeing all aspects of provider services including assisting with provider onboarding, academic appointments, and provider support functions within the Department of Emergency Medicine. This role provides strategic and operational leadership to ensure efficient workflows, high-quality service delivery, and alignment with departmental priorities. The Manager also provides operational oversight of the Program Coordinator (Physician Services Specialist), ensuring consistent administrative support for providers, timely completion of expenses and compliance items, and development of training and orientation materials. The Manager also provides operational oversight to the Department of Emergency Medicine Scribe Program. This role reports to the Director of Emergency Medicine Operations and partners closely with hospital medical staff offices, Brown University, clinical leadership, and internal operational teams to maintain high standards of accuracy, efficiency, and service. Credentialing & Privileging Management
- Request and obtain timely hospital privileges for WIH for both initial and renewal applications.
- Request and submit privilege increase for applicable providers.
- Act as liaison between MSO and onboarding providers
- Assist MSO specialists with follow-up on outstanding application requirements.
- Provide MSO offices with EMAT/EMPAT or CDU-path training program plans.
- Assist incoming providers with completing their applications by pre-filling with information from their CVs, applications.
- Serve as the primary point of contact for providers throughout onboarding; respond promptly to questions.
- Ensure new clinical staff complete all required onboarding tasks and compliance requirements.
- Prepare materials to support HR onboarding processes.
- Obtain and submit procedure logs for reappointment and privilege increases.
- Notify leadership, billing, HR, and MSO partners regarding credentialing milestones.
- Request chart extensions when needed.
- Coordinate with Finance and Billing leadership to ensure credentialing milestones align with billing enrollment timelines and requirements.
Compliance & Expiration Tracking
- Assist with initial licensure, DEA applications, and reimbursements.
- Track licenses, DEA registrations, and ALS certifications, sending monthly reminders.
- Coordinate ALS recertification courses.
- Track EUS privileges and send updated rosters to coding.
- Maintain compliance records and update required systems.
- Assist with tracking and reminders for NetLearning requirements
- Serve as a reference resource for provider inquiries.
Academic Appointments with Brown University
- Assist Faculty Affairs Manager to coordinate academic appointment, reappointment, and promotion processes with Brown University.
- Ensure all required documents (CVs, teaching statements, activity summaries, etc.) are collected and submitted on schedule.
- Assist providers with updating and formatting CVs to meet Brown University standards.
- Create and maintain tracking systems for academic appointments.
- Serve as liaison to the Brown University Office of Faculty Affairs.
- Communicate deadlines, expectations, and required actions to faculty proactively.
Provider Onboarding & Offboarding
- Lead onboarding workflows, ensuring completion of credentialing, IT access, training, and orientation.
- Maintain and update onboarding checklists and timelines.
- Partner with IT, HR, Operations, and Clinical Leadership on access and training needs.
- Develop comprehensive onboarding and training materials for new providers.
- Oversee provider offboarding processes including deactivations and notifications.
- Work with Scheduling team to ensure proper site orientations, Epic training and worksites/shifts are implemented during first 90 days of provider employment.
Oversight of Program Coordinator
- Provide supervision, training, development, and performance feedback to Program Coordinator.
- Ensure timely completion of T&E submissions, attestations, and compliance tasks.
- Develop and implement Physician Services orientation materials and procedures.
- Assign and evaluate workload, ensuring accuracy and timeliness.
- Establish workflow expectations and service standards.
- Identify administrative workflow optimization opportunities.
- Seek continued opportunities to engage and support Emergency Medicine Clinical Staff
Release Time Administration
- Update and maintain the release time database.
- Conduct regular audits for accuracy.
- Submit ECF requests and communicate hours changes.
- Coordinate with the Scheduler to ensure alignment of clinical hours.
- Develop methods to validate release-time tracking systems.
Strategic Planning and Process Leadership
- Develop and implement long-term strategies for improving and increasing provider services, credentialing workflows, onboarding efficiency and compliance tracking.
- Lead cross-departmental meetings and workgroups to align processes between Operations, HR, IT, Billing and Clinical Leadership.
- Oversee initiatives aimed at improving provider satisfaction and reducing administrative burden.
- Lead or participate in organizational initiatives that impact provider operations, workflows or experience.
Scribe Program Oversight
- Provide leadership to the Lead Scribe and resolve urgent issues.
- Supervise Lead Scribe and identify/training candidates.
- Enforce policies on attendance, competency, scheduling, and performance.
- Interview, hire, train, and oversee scribes.
- Handle personnel issues when needed including written warnings, performance improvement plans and terminations.
- Obtain hospital clearance, badges, and health compliance for scribes.
- Serve as administrator on-call.
- Oversee equipment and approve timesheets.
EDUCATION:
- Bachelor's degree required
EXPERIENCE/SKILLS:
- 3-5+ years of credentialing, medical staff services, or provider onboarding experience.
- Supervisory experience strongly preferred.

SUPERVISORY RESPONSIBILITY: Directly supervises support level staff. Pay Range: $82,284.80-$135,782.40
