General Purpose of the Job The Epic Analyst III - Prelude & Cadence is responsible for the design, build, testing, and long-term support of the Epic Patient Access applications (Cadence, Prelude, Referrals, and Real-Time Eligibility (RTE)). This role supports DaVita's Integrated Kidney Care (IKC) build within the DaVita's instance of Epic, serving as a primary liaison between business operations, front-desk stakeholders, and the technical team. The analyst will translate operational requirements into system functionality, focusing on streamlining patient scheduling, registration efficiency, insurance verification, and referral management to improve patient access and financial clearance workflows. Agile Product Delivery & Technical Strategy
- Product Collaboration: Partner with the Product Manager and Designer during sprint refinement to validate technical feasibility and ensure user stories meet the Product model before build begins.
- Requirements Translation: Lead the translation of broad product opportunities into development-ready Epic technical specifications. You are responsible for bridging the gap between "what we want to solve" and "how Epic solves it" (Configuration vs. Customization).
- Rapid Prototyping & Discovery: Execute Epic Feature Discovery and build rapid Proof of Concepts (POCs) in non-production environments to validate hypotheses and test desirability with users before committing to full-scale implementation.
- Epic Best Practices Ownership: Serve as the accountable owner for Epic Best Practices, ensuring that all product designs leverage standard functionality first (Foundation System) to minimize long-term maintenance debt.
System Configuration & Core Duties
- System Design & Build: Lead the configuration, build, and maintenance of Cadence (Scheduling) and Prelude (Registration) modules. Specific focus areas include Visit Type build, provider scheduling templates, centers and departments, and Real-Time Eligibility (RTE) logic.
- Workflow Analysis: Collaborate with operational and patient access subject matter experts (SMEs) to analyze current state workflows and design future state processes that align with best practices for centralized scheduling, front-desk registration, and check-in/check-out efficiency.
- Governance & Standards: Participate in application governance and design authority processes to ensure consistent, scalable, and compliant build across scheduling and registration workflows.
- Patient Access & Financial Clearance: Configure and support tools such as Referrals, Authorizations, and Registration Workqueues to support financial clearance initiatives and prevent downstream denials.
- Reporting & Metrics Enablement: Partner with analytics and reporting teams to define, validate, and support patient access metrics, including slot utilization, lag times, registration accuracy, and denial trends.
- Integration Support: Ensure seamless integration between Prelude/Cadence and other Epic modules (e.g., EpicCare Ambulatory, Resolute PB, MyChart, Welcome) as well as external data sources (RTE vendors, patient engagement platforms) for comprehensive patient data flow.
- Change & Adoption Support: Collaborate with training and change management teams to ensure system design supports effective end-user adoption and operational readiness for front-desk and scheduling staff.
- Testing & Validation: Plan and execute comprehensive testing scripts (unit, system, application, and integrated testing) to validate system build, ensure data integrity, and mitigate risks prior to production migration.
- Issue Resolution: Troubleshoot and resolve complex system issues, identifying root causes and implementing robust solutions. Serve as a Tier 3 support contact for end-users.
- Project Participation: Support the IKC implementation onto the DaVita Epic instance by participating in project milestones, including design sessions, dress rehearsals, cutover planning, go-live and post-live stabilization support.
- Documentation: Maintain accurate and up-to-date system documentation, including build trackers, test scripts, and workflow diagrams. Adhere to strict change control processes using tools like Nova and Orion.
- Stakeholder Collaboration: Build strong partnerships with operational stakeholders and IKC Product to ensure the system meets business goals and regulatory requirements.
- Cross-Application Leadership: Lead cross-application design discussions to resolve dependencies and ensure alignment between Patient Access, Ambulatory, and Revenue Cycle workflows.
- Other Duties as Assigned: Participate in system upgrades, special updates, and other department initiatives as required.
Education and Requirements
- Education: Bachelor's degree in Computer Science, Healthcare Management/Administration, Nursing, Information Systems, or a related field; or equivalent professional experience.
- Experience:
- Minimum of 3+ years of healthcare IT or operational experience.
- Operational knowledge of Patient Access, Scheduling, or Front Desk Operations.
- Experience with Real-Time Eligibility (RTE) vendors and Referrals/Authorization workflows is highly preferred.
- Skills:
- Strong analytical and problem-solving skills with the ability to translate complex business needs into technical solutions.
- Excellent written and verbal communication skills; ability to interact effectively with non-technical end users and executive stakeholders.
- Proficiency with ServiceNow for incident management.
- Proficiency in Microsoft Office Suite (Excel, Visio, PowerPoint).

- Note: If not currently certified, the candidate must be willing and able to obtain Epic certification within a specified timeframe (e.g., 3 months) of hire.
Travel and Time Requirements List the amount of travel required for this role and frequency of nights and weekends required to work.
- Travel: Ability to travel up to 25% to support implementation, site visits, or training (e.g., trips to Epic headquarters in Verona, WI).
- Schedule: Standard business hours, with flexibility required for go-live support and system upgrades.

The Salary Range for the role is $78,000.00 - $119,000.00/year.
If a candidate is hired, they will be paid at least the minimum wage according to their geographical jurisdiction and the exemption status for the position.
New York Exempt: New York City and Long Island: $66,300.00/year, Nassau, Suffolk, and Westchester counties: $66,300.00/year, Remainder of New York state: $62,353.20/year New York Non-exempt: New York City and Long Island: $17.00/hour, Nassau, Suffolk, and Westchester counties: $17.00/hour, Remainder of New York state: $16.00/hour
Washington Exempt: $80,168.40/year Washington Non-exempt: Bellingham: $19.13/hour, Burien: $21.63/hour, Everette: $20.77/hour, Unincorporated King County: $20.82/hour, Renton: $21.57/hour, Seattle: $21.30/hour, Tukwila: $21.65/hour, Remainder of Washington state: $17.13/hour
