Monmouth Crossing is seeking a Staffing Coordinator to manage staffing needs within the nursing department. This role is responsible for overseeing employee scheduling, maintaining accurate time and record-keeping, and ensuring the smooth operation of nursing departments across both buildings.

This position is fully onsite in Freehold, NJ.



Responsibilities

    Accurately processes all computer data (enters and retrieves data, compiles appropriate data for reports). Completes reports and forms timely.
  • Acts as liaison between employees and HR Partner for basic policy questions and forms when HR Partner is not on site.
  • Acts as technical resource for staff for the computer and troubleshoots when necessary.
  • Assists in on-boarding and orienting all new nursing department employees to include email access and navigation of Compass.
  • Coordinates approved agency staff paperwork, and completion of Senior Service Agency orientation. Maintains agency staff credentials.
  • Coordinates sending equipment to Biomed for annual checks and repairs.
  • Correctly prepares, codes, and submits invoices and check requests to Accounts Payable for payment. Reviews invoices and adjusts discrepancies.
  • Ensures nursing unit(s) have adequate 24 hour coverage. Communicates with DON 24/7 regarding scheduling issues and changes to ensure proper staffing levels. Secures agency staff as needed.
  • Maintains department records as required such as employee files, department service statistics, resident charges, resident weights and pendant checks, vendor information and pricing, in-services, etc. Prepares and maintains clear and accurate records.
  • Maintains accurate records of annual budget amount and expenditures for each account.
  • Maintains inventory of office supplies and replenishes supplies when required.
  • Maintains organized filing system so that others can locate needed documents. Keeps files up to date by filing all correspondence and documents in a timely manner.
  • Maintains RSA assignment book.
  • Orders DME supplies and stores in storage closet.
  • Orders necessary lab equipment from CentraState Medical Center.
  • Maintains par levels of equipment and supplies for nursing.
  • Processes billing for completed work orders on a monthly basis, ensuring accurate billing to the appropriate resident or department.
  • Processes purchase orders. Accurately completes purchase orders, obtains required signatures and coordinates orders and delivery with materials management department.
  • Prepares and submits time records, ensuring on-time submission to Payroll. Completes payroll problem logs as necessary.
  • Prepares monthly reports detailing spending, budget amounts, and variances.
  • Organizes uniform allowance and communicates to staff annually.
  • Schedules meetings and appointments for management as indicated while avoiding scheduling conflicts and coordinating the schedules of all attendees. Communicates staff meetings and promotes attendance.
  • Sets up organized filing system such that others can locate needed documents.
  • Tracks accruals and all time off, including PTO requests, for all staff. Processes and evaluates PTO requests within one week of receiving. Returns forms to DON with approval or denial once processed. Ensures proper coding in API.
  • Verifies deliveries against invoices and packing slips.
  • Works with Director of Nursing and Infection Preventionist to coordinate and execute the annual resident flu clinic.
  • Serves as point of contact for staff scheduling questions and assist team members with timekeeping or scheduling concerns.
  • Schedules all residential appointments requiring transportation and maintaining updates as needed on the shared calendar with Nursing, Reception, and Administrator.
  • Coordinates with Building Services and The Manor for resident appointments that require transportation including wheelchair lift bus / Monmouth Crossing vehicle.
  • Transports/escorts, on occasion, resident doctor appointments while utilizing Monmouth Crossing vehicle.


Qualifications

  • High School Diploma Or Equivalent preferred.
  • One year of clerical experience preferred.
  • Dementia Capable Care Specialist Certification required within 30 days of hire.
  • Ability to use standard office equipment, including multifunction copier and multi-line phones.
  • Must be proficient with Microsoft Outlook, Excel, and Word.
  • Strong professional, organizational, and interpersonal skills to effectively relate with all members of the healthcare team required.
  • Must be adaptable to change and able to multitask on a routine basis.
  • HHA/CNA Certification preferred.
  • Valid NJ Driver's license preferred.

Compensation Range: $21.00 - $33.60 per hour

The compensation above reflects the established range from CentraState Healthcare System (CSHS) for this position at the time the job was posted. CSHS considers many factors to determine compensation, including education, experience, skills, licenses, certification, and training. As such, team member compensation may fall outside this range.

Additionally, the compensation range reflects base salary and does not include extra shift rates or incentives tied to quality, productivity, etc., as applicable.
