Overview
Under the general direction of the Utah Women & Leadership Project (UWLP) Director, the Program Assistant provides broad programmatic, operational, and administrative support to advance the mission and initiatives of the UWLP. The position plays a key role in coordinating project activities, supporting events and outreach efforts, and managing the website. The role also contributes to the overall operations of the Project through administrative coordination, resource and information management, and assistance with communications, publications, and reports. In addition, the Program Assistant collaborates with and helps, as needed, coordinate students, volunteers, and other contributors to support UWLP programs and initiatives.

This position is telework eligible within the state of Utah. However, occasional in-person meetings at various locations along the Wasatch Front are required, potentially up to a couple times a month.

Responsibilities
35% GENERAL ADMINISTRATIVE:
  • Provide advanced administrative support, including composing correspondence, preparing meeting minutes, scheduling meetings, answering phone calls and general emails, and managing spreadsheets and databases.
  • Coordinate financial activities, including requisitions, purchase orders, travel arrangements, index tracking, and reconciliation.
  • Coordinate and oversee the procurement and management of office supplies.
  • Supervise student employees, providing guidance, training, and performance support, as needed.
  • Edit scholarly and popular publications, speeches, presentations, and other written material, as needed.
  • Assist with the preparation of grants, proposals, and reports as needed.

35% WEBSITE & RESOURCE DEVELOPMENT:
  • Manage and maintain the UWLP website, including updating existing content and developing new webpages.
  • Provide training and guidance to team members on website updates and content management, as needed.
  • Assist in the development and production of marketing materials and resources that support and promote the mission of the UWLP.
  • Manage the mass mailing system and coordinate the distribution of monthly newsletters.
  • Coordinate the final production and publish monthly podcast episodes in collaboration with the podcast editing team.

20% EVENT COORDINATION:
  • Collaborate with the Director to design and coordinate virtual and face-to-face community events of varying sizes.
  • Support the strategic planning and development of event goals, content, and programming in partnership with the Director.
  • Establish and maintain relationships with event sponsors, partners, and vendors as needed.
  • Develop and manage event registration webpages to support event promotion and participant enrollment.
  • Manage all event logistics, including venue coordination, catering and meals, audio-visual needs, printed materials, publicity, volunteers, vendors, and broadcast requirements.

10% COMMUNITY OUTREACH:
  • Support and strengthen collaborations with departments, nonprofits, associations, government entities, and other organizations aligned with the UWLP's mission and goals.
  • Along with other UWLP team members, maintain and expand the Project's contact database.
  • Recruit, train, and coordinate volunteers as needed.


Qualifications
Minimum Qualifications:
  • Graduation from an accredited institution with a bachelor's degree in a directly related field of study (e.g., social science fields, women's studies, business, communication, political science) or a combination of education and experience totaling a minimum of four years.

Preferred Qualifications:
  • Six (6) years of experience related to summary of duties
  • Office management experience in educational environment
  • Knowledge of state and federal funding requirements

Knowledge, Skills, and Abilities:
  • Knowledge of finance, accounting, budgeting, and cost control procedures.
  • Knowledge of office management principles and procedures.
  • Knowledge of supplies, equipment, and/or services ordering and inventory control.
  • Knowledge of mass media best practices and systems.
  • Office management experience in educational environment
  • Data analysis skills
  • Information research skills
  • Organizing and coordinating skills
  • Records maintenance skills
  • Strong interpersonal, communication skills and the ability to work effectively with a wide range of constituencies in a diverse community

  • Ability to supervise and train assigned staff including organizing, prioritizing, and scheduling work assignments.
