Overview

Position supports the Admission and Enrollment department to ensure accurate records are maintained for prospective and accepted students. Processes enrollment documentation and ensures necessary documents, including transcripts from prior institutions, have been received. Position verifies we follow applicable rules, regulations, and policies. Responds to inquiries, provides information, and advises on options and alternatives in pursuit of an informed decision concerning educational goals. Position provides general support for the Recruitment and Enrollment Services team. This position also provides administrative support to the Early College Specialist to ensure the effective delivery, compliance, and sustainability of dual credit, early college, and related high school partnership programs.

Responsibilities

Processing and accepting applications for admission.

    Process applications include review of documentation to determine if program prerequisites, state, federal, and college policies have been met.
  1. Verify the accuracy of information provided; enter and maintain information into the database, create student files, and maintain/update the database(s).
  2. Review for fraudulent application detection using identity verification processes and procedures.
  3. Assign admission status and proper program code; notify applicants of status.
  4. Research issues that arise pertain to applications for admission and resolve using applicable rules and regulations.
  5. Protect confidentiality and release records in compliance with FERPA.
  6. Support inquiries, applications, and processes related to housing opportunities.

Provide support for prospective, current, and returning students

  1. Provide assistance in helping applicants and students understand the appropriate forms and procedures.
  2. Respond to inquiries and provide information about program content, requirements, and enrollment processes to prospective students, current students, and external agencies.
  3. Advise students on options/alternatives available and what course(s) of action must be taken to meet admission objectives.
  4. Interpret, apply, and explain policies, procedures, and regulations to students, staff, and the general public.
  5. Work with CRM system and complete daily tasks to progress applications in the process.
  6. Answer multi-line phone system and multiple email inboxes.
  7. Act as a resource for high schools, colleges, staff for admissions and application questions.
  8. Assess applicant's needs and advise using knowledge of financial aid, assessments, college and program requirements, etc.
  9. Provide back-up support for other functions and operations in Student Services, including responding to inquiries/requests, assisting with tours and events, and working with students to navigate the enrollment process.
  10. Respond to inquiries from internal departments and determine when referrals to other points of service within Student Services or across the college are appropriate.

Provide support for the Early College Specialist and Dual Enrollment Programs.

  1. Support the Early College Specialist, and all dual credit programs, by processing applications and supporting documents, tracking data, managing grant information, and other duties as assigned.
  2. Assist with the collection, processing, verification, and maintenance of required documentation for dual credit students, including registration forms, eligibility materials, and consent documents, ensuring compliance with college, district, and state requirements.
  3. Support application, admission, and registration processes for Early College students by entering and maintaining accurate student data in the student information system and related databases.
  4. Coordinate with the Early College Specialist, Career Coaches, and high school partners to support onboarding, registration changes, drops, withdrawals, and term-based enrollment updates for Early College students.

Provide support for the Recruitment and the Enrollment team.

  1. Compose, develop and format letters, memos, and forms. Prepare special communications as needed.
  2. Provide scheduling and logistical support for department recruitment efforts and events. Assist in preparations for on-campus enrollment events.
  3. Collaborate and interact with Enrollment Services staff, Student Support areas, and the Early College Specialist to ensure coordinated service delivery.
  4. Integrate new technologies into the admissions process to advance the goals of the Admissions Office and to streamline the workflow process.
  5. Monitor and track recruitment and admissions inventory to create a system where inventory is sufficiently stocked and available based on upcoming events and recruitment travel schedules.


Qualifications

Knowledge, Skills & Abilities:

  1. Experience with student information systems and/or CRM applications (i.e. Banner, Recruit).
  2. Excellent customer service skills through phone and written correspondence.
  3. Ability to work within Microsoft Office Suite (Word, Excel, and Outlook.)
  4. Ability to manage sensitive and confidential information.
  5. Ability to handle multiple projects effectively in an environment with frequent disruptions.
  6. Ability to demonstrate experience within a team environment.
  7. Ability to interact with diverse populations.
  8. Experience or familiarity with post-secondary education.

Education & Experience:

  1. Associate Degree in Administrative Professional, Business, or related field or an equivalent combination of education and experience.
  2. Two years related occupational experience.
