Departmental Overview

At the Wertheim School of Optometry & Vision Science, as part of a world-renowned university that embraces excellence and access, we foster an environment of trust and mutual respect, free expression and inquiry, and personal resilience and achievement. We educate an estimated 320 students annually. Our O.D. program is a 4 year program with clinical training provided at 2 campus clinics, 10 satellite clinics (community care), 7 VA clinics, and 24 external clinics across the country. Our one-year post-graduate residency programs provide advanced clinical education in specialty areas of optometry with placement on and off campus and our Vision Science program averages 40 PhD students.

The Optometry Clinic provides comprehensive optical care services to the entire Campus population and the general Bay Area community, with approximately 80,000 annual visits to Optometry Clinics at Minor Hall and the Tang Center. The Optometry Clinic is open 7 days per week and approximately 358 days per year.

Position Summary

Reporting to the Director of IT Operations, the senior-level System Administrator is responsible for the overall management and strategic execution of the clinic's core IT infrastructure, ensuring robust support for clinical, research, and administrative functions. This role focuses on architecting and managing the Windows server environment (AD, GPO, Citrix), leading vital IT projects, and providing comprehensive Electronic Health Record (EHR) system administration. The Administrator is essential to the organization, overseeing security, compliance, and incident response while delivering Tier 3 technical support and contributing to strategic IT planning.

Responsibilities

Electronic Health Record (EHR) Management and Support:

  • Manage EHR account creation, disabling, and security permissions.
  • Troubleshoot EHR client connectivity and performance issues.
  • Provide support for printing and basic EHR functionality.
  • Rebuild and upgrade the existing EHR database.
  • Troubleshoot EHR database problems.

Clinical & Specialized Equipment Support:

  • Install, configure, and troubleshoot unique software and hardware within the Clinic.
  • Manage the integration of clinical equipment with IT systems.

End-User and Desktop Support:

  • Provide Tier 3 level technical support for IT staff and our internal users.
  • Maintain and expand the knowledge base for client-related support articles.
  • Provide support to outlying clinics.

Network Administration:

  • Manage firewall configurations and maintenance.
  • Oversee the management of local network switches.

IT Procurement & Finance:

  • Assist with managing the IST recharge process.
  • Handle IT procurement of hardware and software.
  • Perform credit card reconciliation for IT-related expenses.

Project Management & Implementation:

  • Lead and manage clinic equipment integration projects.
  • Deploy new enterprise systems as needed.
  • Manage computer software and hardware upgrade projects.
  • Provide support for other IT-related projects as required.

Security Operations & Compliance:

  • Manage and maintain Falcon Host endpoint security.
  • Manage and maintain NetReg network access control.
  • Lead incident response and escalation processes for security events.
  • Support the annual IT audit process.
  • Conduct security assessments for new vendors.
  • Serve as the primary security contact for the Campus IT department.

IT Strategy & Planning:

  • Participate in the design of enterprise IT systems.
  • Conduct vendor reviews and manage vendor relationships.
  • Contribute to IT lifecycle management planning.
  • Provide forward-thinking and strategic direction for IT within the clinic.
  • Ensure IT initiatives align with business objectives.

System Administration:

  • Manage Active Directory, including computers, users, and security groups.
  • Architect and manage Group Policy, including security strategy and daily functions.
  • Administer Windows-based file servers, including access control and permissions.
  • Install, configure, and troubleshoot managed printers on the Windows server.
  • Provide management and troubleshooting for Citrix Servers.
  • Develop and utilize scripting for system administration tasks as required.

Telecommunications Management:

  • Order new phone, fax, and credit card processing lines.
  • Manage changes to existing telecommunication lines.

Required Qualifications

  • Ability to elicit and communicate technical and non-technical information in a clear and concise manner.
  • Ability to write technical documentation in a clear and concise manner.
  • Self-motivated with strong problem-solving skills, able to learn effectively, and consistently meet deadlines while working independently and as part of a team.
  • Comprehensive knowledge of the design, development, and application of technology and systems to meet business needs.
  • Thorough understanding of and experience with system performance monitoring, including actions to improve or correct performance.
  • Demonstrated advanced knowledge and abilities in system problem identification and resolution.
  • Experience with the design, configuration, operation, repair, and tuning of technology systems.
  • Demonstrated comprehensive understanding of how system management actions affect other systems, system users, and dependent/related functions.
  • Able to adapt equipment and technology to meet user needs.
  • Advanced experience writing and editing the most complex scripts used to perform system maintenance and administration.
  • Experience leading a team of IT professionals.
  • Advanced knowledge of computer security best practices and policies, including demonstrated experience securing complex server-based software.
  • Knowledge of security best practices, incident response, and digital forensics.
  • Demonstrated experience with IT security systems and tools, data encryption, and network security.
  • Skilled at administering complex security controls and configurations.
  • Experienced in selecting and applying appropriate data encryption technologies.
  • Bachelor's degree in related area and/or equivalent experience/training.

This range takes into account the wide range of factors that are considered in making compensation decisions including but not limited to experience, skills, knowledge, abilities, education, licensure and certifications, analysis of internal equity, and other business and organizational needs. It is not typical for an individual to be offered a salary at or near the top of the range for a position. Salary offers are determined based on final candidate qualifications and experience.

The budgeted annual salary range that the University reasonably expects to pay for this position is $112,400.00 - $145,000.00

  • This is a full-time (40 hours/week), career position that is eligible for UC Benefits.
  • This is an exempt monthly-paid position.
