Position Summary
The Student Affairs Professional partners with departmental leadership to provide strategic oversight and advanced administrative management of the department's graduate degree programs. Serving as the Graduate Program Administrator, this position is responsible for the comprehensive coordination, implementation, and evaluation of graduate program operations, ensuring alignment with institutional policies and academic standards. The role exercises independent judgment in managing complex student matters, advising faculty and students on graduate policies and procedures, and facilitating processes that support program effectiveness and student success.

Assistance to Departmental Administrators (Head, Associate Head, Directors of Graduate Studies, and Undergraduate Coordinators)

  • Collaborate with the Associate Head (AH) to develop and submit the Summer Semester instructional budget.
  • Partner with the AH and Curriculum Planning Committee (CPC) to coordinate annual undergraduate and graduate course scheduling for the subsequent academic year.
  • Obtain and manage faculty teaching preferences for the academic year and Summer Semester; develop and maintain the master course schedule.
  • Enter and manage Summer student payroll in coordination with departmental leadership.
  • Load and maintain semester course schedules, including instructor and room assignments, in Banner in compliance with university deadlines.
  • Serve as the department's primary CAPA liaison, initiating and managing course revisions and new course proposals.
  • Provide guidance to students regarding academic administrative processes and university resources.
  • Coordinate and support undergraduate and graduate learning outcomes assessment reporting in Xitracs, including data collection and system management.
  • Administer course evaluations; compile and distribute faculty evaluation materials to the Department Head.
  • Process section changes, late adds, and course cancellations in accordance with university policy.
  • Serve as STAT classroom scheduling contact and manage Caldwell Lab scheduling in 25Live and Outlook.
  • Coordinate undergraduate and graduate exit interview surveys and external departmental surveys.
  • Manage faculty Gentec key card access for Brooks and Caldwell Halls.

Undergraduate student administration
Support undergraduate student administration, including but not limited to:

  • Review and process undergraduate transfer credit requests, evaluating documentation for compliance with institutional and departmental requirements and facilitating approvals in accordance with university policy.
  • Collaborate with undergraduate advisors to monitor STAT course availability, sequencing, and enrollment capacity; manage permissions and provide guidance to ensure timely student progression toward degree completion.
  • Serve as the department's primary liaison to undergraduate and graduate advisors regarding the Double Dawgs program, coordinating admissions, curriculum alignment, eligibility verification, and program progression in accordance with university guidelines.

Graduate Student Administration
Support Graduate Student program administration in conjunction with Directors of Graduate Studies (DGSs) through recruitment, admissions, acceptance, and graduation stages. Develop, implement, and evaluate annual calendar and program plan, including but not limited to:
Recruitment:

  • Coordinate the development, production, and distribution of graduate recruitment materials, including departmental brochures and related communications; collaborate with faculty and leadership to ensure messaging aligns with program goals and institutional branding standards.
  • Support and advance Fall Semester recruitment initiatives, including planning and execution of the department's Virtual Open House.
  • Design, coordinate, and implement in-person prospective student visits, managing logistics, outreach, program development, and associated budget planning and tracking to support recruitment objectives.


Admissions and acceptance:

  • Coordinate the application process with DGS and Graduate Committee, including creating files/admission packets, data management, correspondence with applicants, and coordinating with the Graduate School concerning admissions and denials.
  • Support departmental orientation including logistics, outreach, program, and booking locations.

Duties/Responsibilities
Graduate Assistant Support:

  • In collaboration with the Directors of Graduate Studies (DGSs), prepare and issue new and returning graduate student funding letters, ensuring accuracy, consistency, and alignment with departmental and institutional policies.
  • Coordinate TA/RA/CA appointments, tuition waivers, and related payroll processes, maintaining comprehensive funding records and tracking mechanisms.
  • Maintain and update centralized funding spreadsheets and records of signed funding agreements to support fiscal oversight and reporting.
  • Proactively collect projected RA funding commitments from faculty to support assistantship planning and budget forecasting.
  • Serve as departmental liaison to the FAST team and the Graduate School for assistantship processing, modifications, terminations, compliance notifications, and tuition waiver administration, ensuring adherence to university guidelines and deadlines.
  • Coordinate and monitor TA compliance requirements in partnership with DGSs, the Graduate School, Franklin College, and the Center for Teaching and Learning (CTL), ensuring timely completion of required training and documentation.


Graduate Student Operations & Program Support

  • Coordinate graduate student office assignments and facilitate building and key card access for Brooks and Caldwell Halls.
  • Maintain and manage the department's graduate student database, office space assignments, and graduate student communications lists.
  • Regularly update and maintain the departmental Graduate Handbook and program guidelines to reflect current policies and procedures.
  • Ensure accuracy and currency of graduate program webpages, including student rosters, placements, events, and prospective student information.
  • Coordinate scheduling and announcements of comprehensive exams, thesis defenses, and dissertation defenses; facilitate space reservations and required documentation.
  • Support QEP/QEM registration processes and track participation outcomes.
  • Prepare annual graduate student evaluation correspondence in coordination with departmental leadership.
  • Support the Graduate School travel grant process and administer departmental student travel funding in accordance with established guidelines.
