What this job involves:

This role serves as the central point of contact for client visitors and employees, acting as the primary interface between internal operations and clients. You will take ownership of the front of house experience, manage meeting room operations, and support the facilities management team in delivering exceptional workplace experiences. Your people-focused skills, including stakeholder management, relationship building, and proactive problem-solving, will be essential in representing both client and JLL values through professional service delivery and community engagement.

Your day-to-day tasks will include:

Meeting Room and Client Suite Management:

Managing the meeting room booking system including reservations, cancellations, and amendments while ensuring frequent communication with end users. Conducting prechecks before every meeting and maintaining highest cleaning standards across all meeting rooms. Setting up and resetting internal and external meeting rooms according to individual booking requirements and equipment requests. Coordinating catering requests, audiovisual equipment, and special requirements by liaising with FM teams, vendors, and security.

Hospitality and Events Management:

Supervising event setup and breakdown, performing risk assessments, and coordinating with necessary teams to ensure consistent service levels. Providing food and beverage service for external meetings and client suite events, coordinating with vendors for large catering functions and special requests. Managing communications to promote events, confirm attendances, and create name badges while providing team briefs to the wider workplace team on upcoming activities.

Reception and Visitor Management:

Delivering five-star customer service by meeting and greeting all staff, customers, and visitors professionally and cheerfully. Managing all visitor categories in line with security protocols, issuing and controlling visitor security passes, and liaising with security teams. Serving as an information source for staff and customers regarding building facilities, meeting room locations, and surrounding amenities. Welcoming new joiners and providing in-person or virtual orientation tours and supporting documentation.

Site Operations:

Conducting daily meeting room and office checks, performing walk rounds to ensure high standards are maintained throughout all facilities. Managing requests on the facilities helpdesk and liaising with service providers to ensure work orders are completed within agreed timeframes. Handling incoming and outgoing mail enquiries, coordinating repair and maintenance of office equipment, and maintaining accurate records of office seating plans.

Desired experience and technical skills: Requirements:

Three years' experience working within a Front of House or Reception environment, ideally gained within a corporate or hotel setting. Exceptional customer service skills with a natural ability to connect with people and provide great experiences. Strong relationship building capabilities to understand and respond to the needs of staff and customers effectively.

Computer literacy with good understanding and working knowledge of office software. Excellent written and oral communication skills with the ability to deliver clear, concise messages and identify mutually agreeable solutions. Proven track record of achievement with demonstrated ability to understand problems, assess impact, and provide timely resolutions.

Exceptionally organized with strong multi-tasking abilities and excellent time management skills. Capable of working under pressure and meeting tight deadlines while maintaining high attention to detail. Flexible and proactive approach with ability to react quickly and decisively when faced with problems or issues.

Strong team player with commitment to support colleagues while able to work independently with minimal direction. Demonstrated ability to prioritize and manage completion of multiple complex operational matters efficiently and in a timely manner. Professional presentation skills with ability to instill a culture that matches JLL's core behaviors and values.

Preferred:

Experience managing meeting room booking systems and hospitality coordination. Background in facilities management or workplace services. Knowledge of security protocols and visitor management procedures. Experience coordinating events and liaising with multiple vendors simultaneously.

Estimated compensation for this position:

50,300.00 - 61,713.00 USD per year

This range is an estimate and actual compensation may differ. Final compensation packages are determined by various considerations including but not limited to candidate qualifications, location, market conditions, and internal considerations.
