The Accounts Payable Representative - Supplier Maintenance is responsible for the accurate setup, maintenance, and compliance management of vendor records within the organization's financial systems. This role ensures proper documentation for 1099 reporting, maintains vendor data integrity, and supports year-end tax reporting processes. The ideal candidate has strong attention to detail, knowledge of 1099 requirements, and experience in vendor master data management.
Responsibilities
Enter, update, and maintain vendor master data in the accounting/ERP system, including addresses, contact details, payment methods, and banking information.
- Review and validate vendor setup and change documentation for completeness, accuracy, and adherence to internal control standards.
- Manage vendor banking updates, ACH enrollments, and perform bank verification procedures to support payment security and fraud prevention.
- Obtain, review, and maintain required tax documentation (including W-9 forms), ensuring proper vendor tax classifications are recorded.
- Determine 1099 eligibility in accordance with IRS guidelines and support year-end 1099 preparation, reconciliation, and reporting.
- Respond to vendor inquiries related to tax reporting and vendor account maintenance.
- Assist with internal and external audit requests related to vendor records, tax reporting, and segregation of duties.
- Identify and recommend process improvements to enhance efficiency, accuracy, and compliance across vendor and AP operations.
Qualifications
- Education Level: High School Diploma or GED
- Major: Degree must be from an accredited college or university.
- Minimum of 1 years in an office environment; 2 years preferred.
- Experience working in a high-volume, multiple facility operating structure environment is a plus.
- Accounts payable experience with Supplier Maintenance is required.
- Working knowledge of 1099 reporting requirements and W-9 documentation.
- Strong understanding of vendor master data controls.
- Proficiency in ERP/accounting systems and Microsoft Excel.
- Ability to thrive in a fast-paced environment and possess a personal sense of urgency and attention to detail.
