Job Summary

Coordinates and administers the operational activities associated with the Graduate Programs within the Department of Global and Sociocultural Studies (GSS). Coordinates the day-to-day operations of the program, including admission applications, enrollment, student records, student travel, and program marketing, and responds to student, faculty, and administrative inquiries.

  • Serves as the first point of contact on all matters pertaining to the Graduate Programs in the Department of Global and Sociocultural Studies. Communicate with faculty, staff, graduate students, and the university community. Disseminates information related to the graduate program activities, including course information, course schedules, events, policies and procedures, etc.
  • Works alongside the Graduate Program Director (GPD), Graduate Committee, Department Chair, Graduate Faculty and the Office Manager with administrative duties.
  • Collaborates with the department's Graduate Program Director on all graduate program activities and events, including graduate student dissertations, SAGGSA activities, Graduate Committee Meetings, etc.
  • Assist students with processes related to the graduate program, including application submissions, the admissions process, and enrollment and registration. Assist students with potential funding opportunities.
  • Reviews and then compiles graduate program applications and related attached documents for distribution to the GSS Graduate Committee. Organizes and attends the GSS Graduate Committee meetings. Tracks student admission status and advises applicants of missing documents for the Committee's review.
  • Assist graduate students with the preparation of graduate assistantship forms and submit GA contracts and other necessary paperwork.
  • Oversees all travel-related matters for Graduate Program students and guests of the graduate program. Submits travel authorization requests (TARs), cash advance requests, and expense reports for travel incurred. Coordinates travel for Graduate Program Colloquium speakers and processes those reimbursements.
  • Participates in position-related training as needed to maintain competencies in software applications, procedures, and policies, and in cross-training on the duties of other department staff to maintain the smooth operation of department business.
  • Prepares reports related to the operations of the graduate program, including admissions applications, student records, curricular matters, course syllabi, and alumni status.
  • Serves as liaison between the department's Graduate Programs, SIPA HR, the Green School Graduate Office, and the University Graduate School (UGS).
  • Initiates graduate program purchases with university issued credit card. Monitors P-card expenses and reconcile statements. Assures compliance and adherence to university credit card policies.
  • Secures rooms for meetings, graduate exams, dissertation defenses, and graduate student organization colloquium events.


Minimum Qualifications

Bachelor's degree and two (2) years of office or related experience.

Experience working in a Higher Education environment.
