Job Summary

The PMO Business System Analyst Senior is a senior, customer-facing, consultative role responsible for enabling the successful adoption, use, and ongoing improvement of Enterprise Portfolio Management Office (EPMO) tools, processes, and practices. This position serves as a key bridge between business, clinical, and technology stakeholders, focusing on stakeholder enablement. The role involves understanding portfolio management tools, stakeholder workflows, delivering guidance, training, and support to ensure effective tool usage. Success requires engaging confidently with executives, explaining complex concepts clearly, providing hands-on guidance and support, and leading presentations and workshops.

The Senior Analyst acts as a trusted advisor and subject matter expert for EPMO tools, translating stakeholder needs into practical system configurations, clear documentation, and usable standards. This role emphasizes relationship-building, facilitation, documentation, and change management, balancing governance with flexibility to support stakeholder success.

In addition to direct stakeholder support, the PMO Business System Analyst Senior mentors junior analysts, promotes best practices, contributes to continuous improvement of EPMO operations, and helps create educational materials, documentation, and standards that drive consistency and confidence across the organization.

Essential Functions
  • Serve as a senior customer facing analyst within the EPMO Operations Support team, providing hands on, consultative support to EPMO tool users across the organization.
  • Build and maintain trusted relationships with stakeholders through clear communication, active listening, and confident engagement.
  • Collaborate with cross-functional teams to ensure EPMO tools integrate effectively into enterprise workflows, processes, and systems.
  • Partner closely with stakeholders to understand their processes, constraints, and project management maturity, meeting them where they are and guiding them forward through change and adoption.
  • Translate stakeholder needs into clear system configurations, workflows, training materials, and implementation procedures that are practical, usable, and aligned with governance standards.
  • Lead and facilitate training sessions, workshops, office hours, and presentations for individuals and groups, tailoring content to varying levels of experience and confidence.
  • Act as a primary point of contact for troubleshooting and resolving EPMO tool issues, delivering timely, empathetic, and solutions-oriented support.
  • Apply change management principles to support successful rollout, adoption, and sustained use of EPMO tools and processes.
  • Produce and maintain highquality documentation, including user guides, process documentation, standards, job aids, and best practice materials.
  • Document, promote, and continuously improve EPMO best practices while balancing consistency, governance, and stakeholder needs.
  • Use strong communication, facilitation, and leadership skills to support informed decision-making and stakeholder success.
  • Mentor and coach less senior analysts and team members, modeling strong customer service, clarity in communication, confidence, adaptability, and collaboration.
  • Stay current on PMO methodologies, industry trends, and evolving business or clinical requirements, assessing impacts on EPMO tools, processes, and stakeholder enablement.
Qualifications

Required

  • Bachelor's Degree or equivalent
  • Minimum of 5 years of relevant professional experience in systems analysis, PMO support, or related role
  • Demonstrated experience working directly with business or clinical stakeholders in a customer-facing or consultative capacity

Preferred

  • Master's Degreeor equivalent
  • 7 years of relevant experience including experience formulating and defining systems scopes and objectives
  • Certification(s) related to project management or PMO tools
  • Administrative experience implementing, configuring, and supporting EPMO tools such as Planview, Jira, and Confluence (highly preferred)
  • In-depth knowledge of PMO methodologies, with hands-on experience supporting both waterfall and agile delivery models (highly preferred)
  • Experience across the systems development lifecycle, including requirements gathering, design, configuration, and deployment
  • Participation in multiple phases of integrated system implementations or enterprise tool rollouts
  • Background in health care, sciences or information systems
