WHAT YOU NEED TO KNOW (Job Overview):

The Executive Assistant will provide highlevel, confidential executive support to the Division Vice President of the Pacific Division, serving as a trusted partner in managing priorities, communications, and the overall effectiveness of the executive office. In addition, they will anticipate needs by synthesizing information, preparing the Vice President for key decisions, and ensuring timely responses to matters requiring executive attention. The Executive Assistant represents the executive and the office with professionalism in meetings and crossfunctional interactions. This individual will oversee a wide range of administrative, logistical, and operational responsibilities, applying deep knowledge of organizational policies and business practices. Manage sensitive information with absolute discretion, streamline administrative workflows, and relieve leadership of complex administrative tasks. Maintain polished, businessfocused communication and support the coordination, development, and guidance of volunteers and internal stakeholders.

Perform all duties and responsibilities in compliance with standard operating procedures and other applicable Federal, State, and local regulations.

This role is not eligible for relocation assistance. This position is fully remote. Preferred candidate location: Central Time Zone, with flexibility to collaborate and work according to Pacific Time business hours. Must be comfortable working outside of these hours to support executive needs. Occasional travel is expected a few times per year.

The salary range for this position is $30.52-$33.92/hr.

This job will be posted for a minimum of five business days and extended if the applicant pool needs to be expanded.

WHERE YOUR CAREER IS A FORCE FOR GOOD (Key Responsibilities):

  • Maintains executive's calendar for meetings, appointments, travel, visits to field or operating units. Makes travel arrangements and prepares agenda for meetings. May prepare for high level meetings for which the executive's office is responsible.

  • Prepares memos, reports or correspondence for executive's or own signature. Reviews correspondence for consistency with corporate policies and practices.

  • Performs various research and analytical tasks on behalf of the executive regarding operational issues and initiatives. May administer a particular project and compile results or findings from multiple departments reporting to the executive.

  • Reviews and screens calls for executive and ensure that appropriate follow up occurs.

  • Coordinates office activities and communications on behalf of the executive.

  • Provide support, development and/or leadership guidance to all volunteers.

Scope: Extensive knowledge of the job. Wide and comprehensive acquaintance with all aspects of the job and the practical application to complex problems normally encountered. Contact with individuals representing other organizations or individuals of significant importance within organization.

WHAT YOU NEED TO SUCCEED (Minimum Qualifications):

  • Education: Associate's Degree required.

  • Experience: Minimum 7 years of related experience or equivalent combination of education and related experience required.

  • Management Experience: N/A

  • Skills & Abilities: Ability to work with various executive levels and across functional teams. Excellent verbal and written communication skills. Proficient in personal computer use and Microsoft Office Suite. Proficient typing skills required. Knowledge of organizational policies and procedures that relate to operations within assigned organizational unit is preferred. Ability to prepare and edit complex documents is preferred. Strong and demonstrated attention to detail, accuracy, customer service and organizational skills required. Ability to work on a team.

  • Travel: May require some travel.

* Combination of candidate's education and general experience satisfies requirements so long as the total years equate to description's minimum education and general experience years combined (Management experience cannot be substituted).

PHYSICAL REQUIREMENTS

Physical requirements are those present in normal office environment conditions. Operational flexibility is required to meet sudden and unpredictable needs. Ability to use a personal computer, applicable software, and office equipment for sustained periods of time. May include sitting for long periods of time, driving a vehicle, and working under challenging conditions.

WHAT WILL GIVE YOU THE COMPETITIVE EDGE (Preferred Qualifications):

  • Demonstrated experience in project management, including planning, tracking, and driving initiatives to completion in alignment with executive priorities is highly preferred.

  • Proven ability to manage multiple, competing tasks and projects in a highly matrixed, fastmoving environment while maintaining accuracy and attention to detail.

  • Exceptional skill in navigating highdemand, highurgency situations, with the ability to quickly assess priorities, adjust workflows, and ensure timely execution under tight deadlines.

  • Adept at working under pressure, demonstrating sound judgment, composure, and resourcefulness when handling urgent requests or shifting executive priorities.
