With minimal supervision, DoCS Office Support Specialist will help coordinate delivery and implementation of the DoCS course in the first and second year of the College of Medicine (COM) curriculum. Will also provide organizational and administrative support to the tri-campus DoCS Course Directors and LCCs with course alignment.

Duties & Responsibilities:
  • Work with the Associate Director to assist with coordination of clinical skills sessions with the simulation center, create schedules for students, faculty, and standardized patients; update and distribute materials for students, standardized patients, and faculty and tutors.
  • Work with the Associate Director to assist with coordination of small groups and lectures held weekly; update and distribute materials for students and faculty and tutors; assist with room set-up, check-in of faculty and M4 tutors, coordination of technology with IT, and check-in of standardized patients when applicable
  • Create and maintain spreadsheets, tracking databases and files to support DoCS functions
  • Collaborate with course directors in creating, coordinating, and tracking real patient experiences for the students
  • Track and monitor attendance of faculty, students, and M4 tutors
  • Track and monitor timely completion of assignments by students and feedback by M4 and faculty tutors
  • Assist with compilation of the gradebook for each term of the longitudinal DoCS course and submission to the registrar.
  • Plan, organize, assign and review the work of the unit's administrative office support staff and participate in their selection, training, supervision, and evaluation
  • Maintain and update DoCS courses' Blackboard/Canvas websites
  • Maintaining and update Box folders for faculty
  • Maintain and update DoCS primary calendar and room scheduling
  • Serve as liaison between students and faculty to address concerns related to DoCS and actively communicates with course faculty and students to ensure seamless flow of course activities. This includes in person and email communication
  • In the absence of the Associate Director serve as a contact for the course on a tricampus level.
  • Perform other related duties and participates in special projects as requested by DoCS


Minimum Qualifications Required:

  1. High school diploma or equivalent.
  2. Any one or combination totaling two (2) years (24 months) from the categories below:
    1. College coursework in any curriculum, as measured by the following conversion table or its proportional equivalent:
      • 30 semester hours equals one (1) year (12 months)
      • Associate's Degree (60 semester hours) equals eighteen months (18 months)
      • 90 semester hours equals two (2) years (24 months)
      • Bachelor's Degree (120 semester hours) equals three (3) years (36 months)
    2. Work experience performing office/clerical activities, including the use of computer systems.
  3. One (1) year (12 months) of work experience comparable to the second level of this series.
