Description

The Healthcare Association of New York State (HANYS) is seeking a Project Coordinator for its Care Connections program within its Quality Advocacy, Research and Innovation (QARI) division. This position reports to the Director, Care Connections and will provide project coordination and management support to staff leading quality improvement projects, initiatives, and/or collaboratives. The Project Coordinator will also prioritize and complete multiple projects simultaneously, communicating and working closely with HANYS staff across multiple divisions, using critical thinking, professional writing/editing, financial analysis, and self-management strategies to provide high quality work products in a timely manner.

This is a grant funded position until December 2027.

A remote working environment maybe be considered within New York State. The expected hourly rate for this position between $27.47/hr. and $30.11/hr. Payrate offered will be based on the successful candidate's relevant experience, knowledge, skills, and abilities and in consideration of internal equity.

Key responsibilities include but are not limited to:



  • Serves as a key team member for a high-profile, member-facing grant program, including coordination of logistics, development of materials, and monitoring of expenditures to help drive program planning and improvements.
  • Works with Senior Director, Director, Project Managers, Accounting Manager and other internal and external stakeholders as appropriate, to ensure compliance with grant program requirements.
  • Uses critical thinking skills to ensure compliance with project/initiative/collaborative requirements including tracking, documentation, developing action plans and summary reports, with timely submissions to project supervisor.
  • Does research to support the development of new educational materials including finding and organizing information, determining relevance to the project, identifying reputable sources and drafting documents and slides as needed.
  • Develops and uses project management and tracking tools including Excel Workbooks, PowerPoint presentations, evaluation surveys, new document templates, Visio process maps, etc.
  • Monitors expenditures by hospitals and community partner organizations, including the submission of accurate and complete budgets, written reports, and financial reimbursement requests.
  • Performs detailed reviews of all financial reimbursement workbooks and supporting documentation, follows up with organizations for additional information as needed, helps develop financial reports and provides regular updates to program staff.
  • Tracks and records internal data related to key performance indicators to support the development of grant applications and reports. Administers team surveys and summarizes findings for project leadership as needed.
  • Creates and sends out meeting agendas and minutes using proper grammar, punctuation and spelling. Updates the Care Connections team calendar and coordinates meetings as needed.


Qualifications:



  • A bachelor's degree is preferred. An associate's degree with five years of experience in project coordination/management with strong attention to detail and administrative skills in a fast-paced environment is required. An equivalent combination of education and experience sufficient to satisfactorily perform the duties of the job may be substituted.
  • Strong organizational skills with excellent attention to detail.
  • Able to prioritize and handle multiple tasks in an organized and efficient manner.
  • Strong written and verbal communication skills, with the ability to communicate and build relationships at multiple levels of an organization, and with diverse stakeholders.
  • Strong proficiency in Microsoft Office required, including experience and proficiency in Excel.
  • Familiarity with basic financial tracking and accounting procedures.
  • Must be self-motivated, flexible, and eager to assume a range of responsibilities.
  • Must maintain confidentiality and be able to work both independently and as part of a team.
  • Willing and able to learn new project management tools and processes quickly.
  • A high degree of professionalism, poise and tact to facilitate and foster relationships with HANYS' staff, members and partners.
