Payroll Assistant

To be considered an applicant for this position you must meet the minimum qualifications as stated in this announcement. HVCC does not support Visas. Applicants must be either a U.S. Citizen or U.S. Lawful Permanent Resident of the United States and appointment will be contingent upon completion of a background check.

Minimum Qualifications:
Associate's degree from an accredited college or university in business, accounting or a related field. A minimum of 1 year of finance experience (banking/accounting/auditing, etc.). Strong attention to detail; ability to multi-task and manage priorities along with strong computer skills required. Competent with Microsoft applications.

Preferred Qualifications
Bachelor of Science degree in business administration, accounting or related field. Experience working in higher education and with the Ellucian Banner system.

Nature and Scope of Duties:
The Payroll Assistant will report to the Assistant Director of Human Resources/Payroll, or their designee. The Payroll Assistant will perform the following duties:
1. Maintains accurate and up-to-date payroll files, records, and documentation.
2. Processes a high volume of data in ADP payroll system.
3. Assists with complex payroll calculations including but not limited to raises, retroactive pay, termination payouts, etc.
4. Assists with the preparation and transmission of bi-weekly payrolls. Inputs payroll items including but not limited to new hire processing, payroll tax withholding, deductions and direct deposits, processing payroll authorizations, time sheets, pay rate changes, etc.
5. Maintains the integrity and confidentiality of human resource/payroll files.
6. Responds to employee's payroll-related and online paystub access questions and concerns.
7. Requests wire transfers and/or checks for payroll-related liabilities and garnishments.
8. Runs and/or prepares bi-weekly payroll reports that are distributed to various departments and monthly Department of Labor reporting.
9. Provides clerical support to the Human Resources/Payroll departments.

10. Calculates, reconciles and posts journal entries to record bi-weekly, monthly and quarterly payroll related employer/employee expenses.
11. Assists with reconciling and importing extract files generated by HR into the ADP payroll system.
12. Performs other duties as assigned.

This is a 12-month, Full-Time position with a salary range of $45,000-$48,000.
