Business Services Specialist The Business Services Specialist is a key member of the Business Services Unit responsible for supporting the Law Department's financial, budgetary, administrative, human resource planning, and operational functions. Within Business Services, the Business Services Specialist for the General Law group supports the Manager, Business Services as a primary liaison for outside vendors with invoicing and accounts payable related tasks to ensure compliance with company billing guidelines. This position is also responsible for inputting and tracking operating and capital budgets, developing matter budget tracking and matter spend reports for senior leadership, updating internal and external policies and procedures, and supporting the development of forecasts of facility and office-related accounts. Furthermore, the incumbent is part of a team that serves as the primary office managers for the Law Department, which includes the procurement of materials and services, including office supplies, equipment, furniture, mobile devices, and supports department workspace requirements, including field offices.
ESSENTIAL FUNCTIONS
Supports the engagement of outside counsel, including working closely with in-house counsel to establish appropriate budgets for the particular type of legal work that outside counsel is being retained to perform; coordinates issues relating to outside counsel policy and protocol, RFPs, and other processes for selecting outside counsel regarding matters of engagement letters, the review of budgets and bills, and resolution of billing and other issues with outside counsel.
Responsible for administrative implementation of policies and internal protocols. Examples include, but are not limited to, vendor engagement processes, billing/invoice submission and review, accrual submission, procurement of materials and services (including office supplies, equipment, furniture, mobile devices), and supporting department workspace requirements, including field offices.
Assists the Lead Business Engagement Specialist in the review of outside counsel legal invoices for adherence to general letters of engagement and processes accordingly.
Assists with department and company audits, reviews data for quality, and generates reports from department systems.
Works with the function head on developing and communicating appropriate Law/Claims Department policies and serves as a resource to departmental staff by preparing procedure and guidance documentation.
Investigates, resolves, and escalates problems and serves as a member of the Law Department's matter management "Super User" team. Monitors and analyzes metrics to ensure customer satisfaction and vendor performance.
Coordinates implementation of company policy updates and reminders for Law/Claims.
Learns and facilitates applicable company and Law Department policies and serves as a resource to departmental staff by preparing procedure and guidance documentation; works with the Manager, Business Services to develop, communicate, and update appropriate Law Department policies.
Acts as departmental liaison with blanket agreement vendors. Researches payment delays and develops procedures to improve invoice and payment processes.
Provides reports from the Law Department's case management system for all general law practice groups, including Commercial Litigation, Labor & Employment Litigation, Commercial Transactions, Railroad Operations, and Real Estate/Engineering.
Supports training and career development within the Law Department, including scheduling training, tracking bar member status, and supporting staff training planning with support departments (e.g., Human Resources, Finance, etc.).
MINIMUM QUALIFICATIONS
BS/BA degree in Business, Computer Science, or related field, or equivalent work experience
2-4 years' experience in management of administrative functions
2-4 years' experience with billing and invoicing processes and procedures
Demonstrated experience in office administration, customer service, vendor relations, and/or accounts payable
Motivation to learn new skills and tasks, both complex and simple, in order to maintain effectiveness in the position
MINIMUM KNOWLEDGE, SKILLS, & ABILITIES
Working knowledge of various spreadsheet and database programs
Proficient to advanced competency in Microsoft Office Suite (Word, Excel, PowerPoint, SharePoint, etc.)
Strong project management skills
Strong administrative and organizational skills

Self-motivated and able to work independently and proactively
Ability to maintain confidentiality of information
PREFERRED QUALIFICATIONS
2-4 years' experience in management or administrative functions
2-4 years' experience with capital and/or operational budgets
Office management experience in a law firm or law department
Experience working with a case/matter management platform
