Job Title: Construction Services Coordinator

GENERAL DESCRIPTION

This role will provide support in developing company shops and franchise shops in the coordination, planning, and implementation of new shop design.

FOCUS

Responsibilities

  • Manage the development team's project tracking documents and project management platform on a weekly basis and distribute reports to the team.
  • Manage vendor communications and relationships, including confirmation of inventory, stock, and quantities.
  • Manage and distribute monthly vendor reports with project status.
  • Review construction documents and work with vendors to obtain cost estimates for all new construction projects, both company and franchise. Quotations to be reviewed against drawings to ensure accuracy in amounts and quantities. (FF&E, mechanical, lighting, millwork/workshop, etc.).
  • Manage order placement and payment tracking for all new construction projects, both company and franchise. (FF&E, mechanical, lighting, millwork/workshop, etc.).
  • Track and manage orders with Construction Managers and Franchisees for all new construction projects to ensure deliveries are coordinated with construction install schedules. (FF&E, mechanical, lighting, millwork/workshop, etc.).
  • Assist Construction Managers to maintain budgets for each company project, including GC bids and vendor quotations.
  • Assist with setting up building utilities and coordinate account setup for new company locations.
  • Perform such other related tasks as reasonably requested.
  • Potential opportunity to assist and work on Refresh Projects as the schedule allows

  • Process and detail-oriented with the ability to execute tasks within the parameters outlined by the Development Leadership Team.
  • Highly organized self-starter with excellent time management skills, with the ability to multitask.
  • Able to think critically to prioritize duties and tasks with a sense of urgency.

  • Strong presentation skills, in person and especially virtually on camera.

ESSENTIAL PHYSICAL FUNCTIONS
  • Must have the ability/stamina to work 45-50+ hours a week
  • Must be able to work in both warm and cool environments, indoors and outdoors
  • Must be able to engage in problem-solving skills to help identify and solve potential issues
  • Ability to stand/walk for 9-10 hours per day and sit for 1-2 hours per day
  • Must be able to lift up to 50 pounds occasionally
  • Will frequently reach, feel, bend, stoop, carry, finely manipulate, and key in data
EXPERIENCE, EDUCATION, AND BEHAVIORS
  • Must represent The Potbelly Values.
  • Demonstrated success in meeting or exceeding goals and deadlines.
  • Must be coachable, driven, focused, confident, and a self-starter
  • Cool and collected under pressure.
  • Must be passionate about the food business in general and Potbelly in particular
  • Proficient in Microsoft Software - Specifically Excel, Word, and PowerPoint
  • Proficient in reading and understanding Construction Drawings for order procurement.
  • Experience with CRM, FranDash, SmartSheet/PM for collaboration and communication
  • Knowledge of AutoCAD, Adobe Creative Suite, or Bluebeam/Revu is a plus
  • Minimum of 3-5 years of experience in restaurant construction services or project management
  • Must have experience performing in a fast-paced environment
  • Must strive for excellence and have only the highest integrity in their intentions
  • Bachelor's degree ina related field (BA or BS in Interior Design or Architecture)
