College of Health Professions and Sciences:

The College of Health Professions and Sciences (CHPS) is home to nationally recognized programs focused on health and wellness - and a respected faculty dedicated to teaching innovations and research partnerships. The college offers accredited programs in health sciences, physical therapy, kinesiology, athletic training, social work, physical therapy, and communication sciences and disorders. In conjunction with the Clinical Affairs team, the CHPS Office of Research, Sponsored Programs, and Faculty Excellence provides front-line support for faculty in the college to support their research, teaching, service, and overall career advancement goals.

The Opportunity:

UCF's College of Health Professions and Sciences is seeking an Administrative Coordinator II. This role performs, coordinates, and manages faculty-facing and faculty-focused activities within the college in collaboration with the Senior Associate Dean for Research and Faculty Excellence and the Associate Dean for Clinical Affairs and Healthcare Innovation. Responsibilities include providing daily faculty-focused customer service; supporting program planning, development, implementation, and tracking; liaising with college units and central administrative offices; and managing confidential, high-level administrative and faculty career advancement and personnel actions, including record retention.

Responsibilities:

PROJECT/PROGRAM PLANNING, DEVELOPMENT & IMPLEMENTATION:


  • Participates in faculty-focused program and event planning/development/implementation.

  • Conducts independent background policy, procedure, and material preparation research.

  • Provides comprehensive project/program scheduling, document and itinerary preparation for faculty-focused meetings, events, and programs.

  • Monitors progress against unit goals and objectives, and contributes to progress reporting, including follow-up and record keeping.

  • Manages meeting planning, agenda/materials development and distribution, as well as meeting minutes/documentation, and action item follow-up.


FRONT LINE FACULTY SUPPORT:


  • Provides confidential, discrete, and customer-oriented daily front-line response/coordination for faculty-related activities and committees/councils across research, career development/advancement & clinical functions in conjunction with the Senior Associate Dean for Research and Faculty Excellence.

  • Serves as a point person to support faculty using institutional software (e.g., Huron, Workday, Interfolio).

  • Manages confidential document delivery and record keeping for faculty in conjunction with the Senior Associate Dean for Research and Faculty Excellence.


GENERAL OFFICE ADMINISTRATION:


  • Functions as primary receptionist for the unit from front desk workstation.

  • Oversees the daily operations of the Office of Research, Sponsored Programs & Faculty Excellence (ORSPFE) and acts as liaison across ORSPFE team and Clinical Affairs team.

  • Assists with tracking and review of faculty program expenses and purchasing.

  • Serves as liaison with unit/department human resources personnel for grant and faculty-related personnel actions.

  • Supports office role within human resource-related activities (e.g., recruiting, onboarding).

  • Provides administrative coordination, document and itinerary preparation, travel coordination, expenditure reporting, and purchasing support for two associate deans.

  • Provides direction to others to ensure procedures are upheld for smooth office operations and interface with other college and university units.


Minimum Qualifications:

Bachelor's degree or Master's degree and 2+ years of relevant experience, or an equivalent combination of education and experience pursuant to Fla. Stat. 112.219(6).

Preferred Qualifications:


  • Bachelor's degree in business administration, education, public administration, communications, or a related field.

  • 4+ years of relevant work experience managing office activities, establishing priorities and deadlines, assigning work, and providing advanced administrative support duties.

  • Experience using standard office software (Microsoft Office Suite: Word, Excel, Outlook, PowerPoint) to prepare documents, reports, and correspondence.

  • Experience supporting use of Enterprise Software.

  • Experience within a Higher Education environment, delivering comprehensive support to faculty.


The most successful candidates may possess the following qualities:


  • Evidence of ability to work both independently and as a member of a high-functioning, cohesive team.

  • Evidence of history of maintaining high attention to detail and confidentiality in past work environments.

  • Customer service training

Special Instructions to the Applicants:

The anticipated hourly rate for this position is $20.29-$24.90 per hour. The final rate will be determined based on the candidate's qualifications, experience, and internal equity considerations.
