Position Purpose

Provide professional support at the team and project level to ensure contract fulfilment and completeness. Provide a consistent system of which documentation and storage of contracts, purchase orders, communication, etc. is maintained. Be a strong team member in minimizing risk during the lifecycle of a project. Provide a point person for general inquiries and visits with the team.

Major Tasks, Responsibilities and Key Accountabilities

  • Provide technical documentation on projects including submittals and Operation and Maintenance Manuals (O&M) based on project specific requirements.
  • Maintain project files including contracts, purchase orders, and other key elements of project documentation within a standardized filing structure.
  • Coordinate and schedule field training and start up services.
  • Maintain a high level of communication with management, sales staff, and project team regarding contract language to assist in guiding the team to minimize risk.
  • Compare vendor quotes to our contract to ensure contract compliance regarding warranty, start-up, close out, etc.
  • Provide additional reporting through Mincron, Powerscope, and Material Tracking logs to provide up to date and current contract status. Communicate the results of this reporting to management, sales staff, and project management team.

Preferred Qualifications

  • Minimum 2 years' experience with submittals, O&M Manuals, insurance, etc.
  • Associates Degree or higher in a job-related field (or demonstrated relevant prior work experience.)
  • Proficient in Microsoft Office and PDF writer software
