Overview

Performs a wide range of secretarial and data entry duties and coordinates a multitude of office procedures in support of the activities of the patient care unit. Additional activities may be required at the request of the department and/or manager to ensure safe , effective and effecient operations of the facility. Responsibilities

  • 1. Service Excellence - Creates a great "First Impression" by demonstrating exemplary customer service skills for all customer groups including patients, families/friends, physicians, staff and support department personnel. Adheres to the "I Am YNHH" service excellence pledge.
    • 1.1 Interacts with patients, families/friends, physicians and staff, in a helpful, courteous, pleasant and professional manner at all times, including while using the intercom.
  • 2. Collaboration and Teamwork - Assures that information is communicated in a timely, sensitive and effective way; follows through on responses as appropriate.
    • 2.1 Demonstrates sensitivity to the varying needs and communication styles of our culturally diverse patients, families and staff.
  • 3. Technical Expertise - Proficient skill on all computer applications and telecommunication systems. Maintains all medical records and other materials related to medical status and patient care. Observes strict confidentiality within HIPAA regulations.
    • 3.1 Receives, distributes, processes, files and maintains all patients' medical records and other documents relating to medical status and patient care maintaining strict confidentiality at all times.

    • 4.1 Ensure environment is always regulatory ready, regulatory compliant, including maintaining a clean and organized work area.
  • 5. If working in the Observation Associate role through the Centralized Staffing department:
    • 5.1 Ensures the patient's safety and dignity during asigned shift.

Qualifications

EDUCATION

Minuimum High School Diploma or equivalent GED is required.

EXPERIENCE

Two (2) to Three (3) years administrative clerical experience preferably in a patient care environment. Prior computer usage strongly preferred.

Possess the ability to maintain composure in stressful situations. Demonstrate a caring, positive attitude towards patients and families. Excellent communications, interpersonal, and organizational skills. Ability to read computer screens, forms and other documents and follow written and oral instructions. Ability to write clearly and legibly . Ability to make mathematical computations. Competent in keyboarding skills. Ability to work in a fast -paced, changing environment. Ability to respond to unpredictable, changing situations and needs (including clinical crises on the unit and otherwise stressful situations and interactions) with sound judgment and excellent customer relations skills.

PHYSICAL DEMAND

Ability to lift a minimum of 40 pounds. Consistent use of body mechanics. Work involves sitting in a chair for long periods of time, stands and walks through department or facility as required.

BUSINESS ASSOCIATE - OUT PATIENT

In a pleasant, courteous, and professional manner performs reception and communication duties to ensure all patient, visitor, and staff needs in support of patient care division are met.

1. Answers telephone within three rings, identifying care division and self.

1. 1 Screens telephone calls and visitors, determining name and purpose, to whom individual should be referred or if the matter can be handled independently, priority/immediacy of communication, etc.

1.2 Transfers calls providing name of caller and other relevant information.

1.3 Takes messages, ensuring that name, telephone number, time and other appropriate information is captured with 100% accuracy. For calls of a less immediate nature, forwards messages to appropriate individuals or other message slots within 1/2 hour of receipt of call.

1.4 Notifies nurse and/or other appropriate staff member of patient's arrival in the Clinic, delivery of medications, irregular lab test results, and other activities or information requiring immediate knowledge or response.

1.5 Calls staff members and monitors whether stat communications have been responded to. Initiates follow-up as necessary.

  1. 6 Remains at desk and responds to nursing and medical staff requests in emergency situations (i.e., codes)

1.7 Initiates requests for service, including but not limited to requests for O2 set-ups, requests for telephone repairs, requests to Environmental Associate for cleaning of patient and other maintenance needs, arrangements for TV repair, etc.

1.8 Provides for the needs of patients and their families by supplying appropriate information regarding hospital services.

2. Receives, distributes, processes, files, and otherwise appropriately maintains all patients' medical records and forms relating to medical status and care maintaining confidentiality at all times

2.1 Receives, reviews, sorts, and prioritizes all patient documents. Distributes forms requiring immediate attention to responsible staff and files others appropriately in medical record.

3. Maintains inventory, picks up pharmacy orders, and transports blood products and urgent labs for the Service.

3.1 Takes inventory and orders storeroom supplies via the PDAD system. Puts away supplies as time allows and assists PSM with ordering of outside supplies.

3.2 Transports blood products and specimens to and from the Blood Bank or other laboratories as needed on a daily basis.

3. 3 Manages inventory of patient nourishment as needed.

4. Performs administrative support activities to ensure patient billing and financial issues are managed in an appropriate and timely manner.

4.1 Checks in patients at entry and end of service ensuring that all patient demographics and insurance information are correct when appropriate.

4.2 Notifies PAR if patient needs to be seen prior to treatment and ensures that they have all information needed for patients.

4.3 Makes appointments for patients on the EPIC system.

4. 4 Ensures that prior authorization is in place prior to scheduling treatments

4.5 Participates daily to the inpatient to outpatient rounds and make all appointments needed for the patient prior to discharge.

5. Performs miscellaneous duties to ensure complete customer satisfaction, administrative, and clerical support to patient care and patient/customer satisfaction. In addition to the Hospital Standards on Customer Relations, balances compassion and empathy, exhibits exceptional professionalism and customer relations skills with particular sensitivity to the varying needs and communication styles of our culturally diverse patient, visitor, and employee population.

5.1 Performs other administrative and customer relations-oriented tasks as needed to ensure patient care, customer relations, and hospital procedural needs are met.

5.2 Attends all mandatory continuing education and in-service classes.

5.3 Attends and actively participates in staff meetings. Accepts responsibility for reading staff meeting minutes if unable to attend.
