Position Summary:
Working under general supervision, receives, inputs, reconciles, and processes weekly and monthly payroll time sheets. Verifies and calculates employee pay based on pay types and hours and enters payment information in hospital and departmental computer systems. Completes various forms and employee requests relating to payroll information. Provides administrative support for unit operations by compiling statistics and reports and maintaining related records. Responds to questions and resolves discrepancies with hospital department managers, employees, banks, and the IRS. This is a hybrid position based in Boston, with a monthly on site requirements.
Key Responsibilities:
- Verifies and records payroll information and obtains hours confirmation to release payment as needed. Arranges inter and intra hospital payroll methodologies for department managers. Documents all discrepancies as necessary. Follows up on and documents missing hours, taxes and wages. Seeks authorizations/approvals required for pay check disbursements, and any payments not in compliance with hospital personnel policies. Verifies adjustments for voided and manual checks and/or special check requests.
- Collects and organizes records, information and materials required to make necessary payroll check distributions or appropriations for payroll deadlines. Prepares requisitions and other standard forms as requested by manager.
- Accesses hospital and departmental computer systems to enter and retrieve payroll and/or departmental information and prepare and respond to routine electronic correspondence. Receives and verifies information and codes and inputs specified data according to established systems and procedures. Prepares and processes related forms and documentation.
- Schedules check disbursements for employees and department managers for payroll, coordinating earned time payouts, procedures, or documentation with other departments or institutions as necessary. Records pay and tax liabilities on the payroll and ledger systems, subsequently adjusting payroll as needed. Provides employees and department managers with standardized information as appropriate.
- Answers telephone calls from employees, clinicians, employees, banks and department managers. Records and forwards messages and triages calls for urgent information or services. Responds to requests for routine information or assistance within scope of knowledge and authority. Composes routine correspondence and completes standardized forms as needed. Initiates call for emergency services as required. Receives and greets employees for payment pick up.
- Ensures compliance to hospital personnel and payroll and benefit policies and maintains all appropriate tax information for employees and the hospital in accordance with IRS code and filing requirement.
- Serves as a resource on payroll operations, procedures and related matters. Provides assistance to other support staff in evaluating and resolving related problems and issues. Recommends and assists in implementing changes to internal systems and procedures.
- Performs various administrative responsibilities as assigned. Maintains and compiles office/program statistics and prepares related reports. Monitors and orders supplies and prepares purchase orders and payment requisitions. Maintains office equipment and computers, requesting repair services as needed. Ensures that all payroll checks are signed using the signature plate on the computer printer.
- Monitors daily schedule and mail inflow. Communicate with manager and routes time sheets or special check requisitions, wage verifications, child support notices, and other materials to maintain efficient payroll flow.
Education:
- High School Diploma/GED required
Experience:
- 2 year of direct experience working with health insurance, referrals, and authorizations.
The posted pay range is Boston Children's reasonable and good-faith expectation for this pay at the time of posting. Any base pay offer provided depends on skills, experience, education, certifications, and a variety of other job-related factors.
