Job Summary

The Template Builder supports Ambulatory Capacity Management by designing, building, analyzing, and maintaining provider and ancillary scheduling templates within EPIC. This role serves as a subject matter expert in template design and optimization, utilizing provider utilization reports and workflow analysis to ensure efficient scheduling, improved ambulatory access, and optimal patient flow.

The incumbent manages incoming template change requests, evaluates system impact, and ensures alignment with organizational standards and decision trees.

Key Responsibilities

Template Design & Maintenance

  • Analyze, design, implement, maintain, audit, and evaluate provider and resource scheduling templates in EPIC.

  • Serve as subject matter expert for template build, design standards, and utilization analysis.

  • Manage and triage incoming provider template change requests.

  • Assess impact of changes on workflows, decision trees, system configuration, and organizational standards.

  • Resolve template build issues in accordance with system-wide template standards.

  • Evaluate scheduling functionality enhancements to improve throughput and patient access.

Operational Collaboration & Optimization

  • Collaborate with clinic leadership and operations managers to optimize provider schedules.

  • Proactively identify and mitigate barriers affecting ambulatory access and patient flow.

  • Coordinate template improvements to support operational efficiency and capacity goals.

Troubleshooting & System Support

  • Troubleshoot and document moderately complex issues related to clinical software, hardware, and operating systems.

  • Perform root cause analysis, inform management, and implement corrective actions.

  • Coordinate service and support efforts with Clinical Engineering, IT, network teams, and external vendors as needed.

Training & Communication

  • Participate in user training related to clinical systems and scheduling tools.

  • Develop training materials, job aids, and documentation.

  • Maintain clear and consistent written and verbal communication with management, operations teams, and stakeholders regarding scheduling standards, expectations, barriers, and opportunities.

The final salary and offer components are subject to additional approvals based on UC policy.

Your placement within the salary range is dependent on a number of factors including your work experience and internal equity within this position classification at UCSF. For positions that are represented by a labor union, placement within the salary range will be guided by the rules in the collective bargaining agreement.

Department Description

The UCSF Faculty Practice Organization (FPO) is made of up of more than 2,500 clinicians across multiple campuses and satellite clinics. The UCSF Patient Care Access team supports the organization's goal to be the #1 Health System in Northern California in health care value, patient experience, and employee engagement by ensuring our ambulatory clinics provide timely access to care for our patients. We strive to provide care when, where and how our patients need it. The team works closely with practices to support improvement efforts and with various departments across the organization (e.g. marketing, IT) to set strategic goals and develop innovative patient care access solutions.

The Ambulatory Capacity Management team supports Patient Care Access by designing, building, and managing the scheduling templates of physicians and advanced practice providers. The team provides a high level of customer service to ambulatory clinic physicians and administrators. Responsibilities include adherence to scheduling template design best practices, execution of service level agreements, alignment with UCSF Clinical Systems change control policies, and support of Patient Access capacity objectives.

Required Qualifications


  • Working knowledge of clinical applications, including EPIC/APeX systems and functions, such as development, implementation, user support, maintenance, system testing, and evaluation.

  • Demonstrated problem-solving skills, with the ability to quickly diagnose issues and develop multiple effective and timely resolution options.

  • Strong interpersonal and customer service skills, with the ability to collaborate effectively within a team and provide training and support to clinical providers and staff.

  • Detail-oriented with proven organizational skills, including the ability to manage time efficiently, prioritize tasks, establish schedules, and complete projects in a timely and cost-effective manner.

  • Demonstrated written and verbal communication skills, with the ability to clearly and concisely convey technical information to clinical users.

  • Working knowledge of departmental systems and procedures for documentation and reporting, including the ability to perform testing and analyze and interpret relevant data.

Preferred Qualifications


  • Bachelor's degree in Health Care Information Technology, Computer Science, or a related field; or an equivalent combination of education, training, and experience.

  • Epic certification(s).

License/Certification

EPIC certification preferred.
