Responsibilities: Provides program and project services by implementing organizational systems and procedures, monitoring projects, and maintaining daily coordination activities related to operational needs of various departments. Collaborates with several internal departments to ensure operational function of application systems, facilities, safety, and security for employees, and events. Serves as a central point of contact for external clients and any internal project and operational demands. Interacts routinely with multiple levels of staff within the enterprise organization as well as with members and patients and is often involved in complex and confidential matters. Some key responsibilities include:
- Maintains timely operations workflow by developing procedures, organizing time sensitive needs, and constant communication with staff.
- Maintain a thorough knowledge of PHS operations and specific functions to align and support departmental goals and processes.
- Ensure positive client experience and support by offering excellent customer service with providing information, responding to requests, and answering questions.
- Work in a team environment within the PHS system, specifically in the Health and Wellness department, but may be called for on demand operations and senior leadership projects as needed.
- Maintains rapport with internal leadership teams, staff, and employees by resolving problem situations, setting priorities, responsiveness, and continuing contacts throughout resolution process.
- Works to resolve operations problems by researching issues, reaching across departmental contacts and identifying solutions.
- Completes projects by identifying, coordinating, and implementing resources, technology needs, and attention to detail.
- Completes invoice accounts payable functions including maintenance and record keeping, owning the process from receipt to payment.
- Perform other assigned duties as directed.
- This position will manage and oversee the following functions:
- Wellness-At-Work technical resolutions, Health Fairs, Screenings and other Wellness Events
- Logistical Project Management functions
- Compliance requirements
- Capital equipment maintenance including keeping equipment calibrated and up to date.
Qualifications:
- Minimum Education: High School Diploma or Equivalent
- Minimum Experience: 5 years experience as project coordinator
- Technical Experience: Excel, Microsoft Word
- Knowledge, Skills, Ability:
- Excellent customer services skills and demonstrate ability to effectively interact with clients and employees to understand their needs and explain solutions
- Ability to exercise judgement in coordinating multiple projects
- Able To work professionally and independently
- Able To time manage effectively
- Able to analyze, plan, schedule and track project details
- Possesses strong organization skills including documentation and file management
- Written and verbal communication
