Summary/Objective
The Inventory Coordinator handles warehouse tasks such as research, coordinating purchases, creating purchase orders, receiving and stocking deliveries, and ensuring timely deliveries. They maintain inventory levels to support maintenance during peak and off-peak seasons and support budget preparation, recordkeeping, and warehouse oversight for Eielson AFB.
Essential Functions
- Oversees inventory levels for maintenance parts, materials, appliances, tools, equipment, and custodial supplies. Maintains inventory and stock levels using established minimum/maximum guidelines by using inventory management software.
- Creates accurate purchase orders for materials, parts, and applicable vendor services in alignment with company standards and approved supervisor or system-generated requests.
- Investigates and resolves inventory discrepancies.
- Reviews purchase orders and related documentation to confirm accuracy and completeness before submission. Applies correct general ledger coding to support proper budget tracking.
- Ensures materials are ordered promptly and works to minimize the need for special-order items and services.
- Assists technicians in preparing materials and equipment for service appointments by pulling required parts and staging job materials.
- Adheres to all Purchasing Card procedures when procuring items not maintained within the purchasing system.
- Provides regular cycle counts and physical inventories to ensure proper inventory is available; monitors inventory levels and identifies reorder points to prevent stockouts or overstocking; provides updates and reporting on purchasing activity as scheduled or upon manager request.
- Supports accurate data entry and effective use of the property management software as it relates to purchasing and inventory functions.
- Maintains all current Safety Data Sheets and operating manuals for equipment used or stored onsite.
- Maintain accurate fleet vehicle records and coordinates preventive maintenance and repair services to ensure safety, reliability, and compliance.
- Prepare outgoing shipments for return items, including labeling, packaging, and documentation.
- Uses the inventory control system to record and track all inventory movement from receipt, to warehouse storage, and to the assigned asset.
- Performs physical inventory counts as required by policy and at the direction of site leadership, including warehouse stock and other storage locations.
- Maintains all inventory forms, tool logs, and documentation for items removed from warehouse storage.
- Completes documented safety checks for all power tools and equipment maintained within the warehouse.
- Recommends inventory level adjustments to the Maintenance Manager or supervisor based on usage trends and repair needs.
- Oversees and manages the SelfHelp program for the property, when applicable.
- Ensures all equipment issued to residents through the SelfHelp programis safe and in proper working condition.
- Interacts with residents in a professional, courteous, and respectful manner at all times.
- Assists with onboarding and ongoing training of employees on procurement systems, workflows, and procedures.
- Stays current with company policies and compliance requirements communicated by management and performs duties accordingly, including safety inspections.
- Maintains forms, records, and documentation and recommends updates to materials as needed.
- Ensures compliance with all company policies as well as local, state, and federal safety requirements.
- Identifies opportunities to improve operational efficiency and recommends solutions.
- Escalates property-related issues or emergencies to the appropriate parties promptly.
- Supports the management team with coordination and execution of special projects as needed.
- Maintains the physical ability required to safely operate equipment or company vehicles used for material transport.
- Performs additional assigned duties, which may include minor maintenance on warehouse tools/equipment,fleet administrative support, and other operational tasks.
- Follows all OSHA, safety, and environmental procedures. Maintains a clean, organized, and safe warehouse environment.

Required Qualifications
- High school diploma or GED required; vocational school or associate degree preferred (may be offset by relevant experience).
Experience
- 1-3 years of experience in procurement, warehousing, receiving, inventory control or materials dispatch in a multi-family housing or hospitality environment.
- 2+ years of front-facing customer service experience.
Knowledge, Skills & Abilities
- Strong computer and mobile skills, including Microsoft Office Suite (Word, Excel, Outlook), Yardi, translator apps, and computer-based training platforms.
- Comfortable using a personal phone for job-related communication when required.
- Safety-minded with a basic understanding of OSHA and other safety regulations.
- Must pass state and federal background checks and a 12-panel pre-employment drug test.
- Valid REAL ID-compliant driver's license; ability to meet Motor Vehicle Review standards and use a personal vehicle for work-related transportation.
- Strong organizational skills with attention to detail.
