Position Summary
This position is responsible for coordination of program and process operations under the guidance and direction of the Associate Vice President for Research and the Associate Director. The Operations Specialist will report directly to the Associate Director of the Office of Internal Grants, Awards and Research Personnel. The person in this role will:

  • Coordinate internal grants and awards program operations
  • Coordinate research personnel administrative operations
  • Serve as co-liaison to the UGA Postdoc Association (in conjunction with the Associate Director)
  • Supervise and direct the Administrative Assistant in tasks related to the functions above and in tasks related to general office administrative support
  • Assist the Associate Director with planning and implementing IGARP events and directing the Administrative Assistant in executing logistical details of campus engagement activities

Coordinate internal grants and awards program operations.

  • Manage deadlines, program timelines and SOP tasks
  • Draft announcements and update webpages
  • Create competition web forms
  • Manage data and electronic files
  • Consult with the Associate Director and answer inquiries
  • Attend committee meetings to assist AVPR and Associate Director in charging the committees
  • Send final notifications
  • Co-monitor IGARP departmental email accounts, respond to inquiries and escalate to the Associate Director or AVPR for other questions or issues

Duties/Responsibilities

  • Manage and administer the Visiting Researcher/Scholar Program by processing VRS requests, managing database and documents, interpret and enforce policy, maintain regular communications with all stakeholders (faculty, visitors, immigration services, export control, departmental business offices
  • Manage and administer the Postdoc Travel program by managing data and documents, create and monitor competition forms, complete preliminary initial matrix review before assigning to the Associate Director, propose faculty reviewers to the Associate Director and coordinating those reviews, create and present multiple funding scenarios working from the program budget, communicate with applicants and internal office contracts.
  • Primary operator of IGARP's Office of Postdoc Affairs administrative processes, including postdoc offer letter review, UGA Jobs actions review and approval, administrative processing of postdoc salary requests, postdoc 5-year term review, postdoc appointment post-processing and assist the Associate Director with the annual NSD-NIH GSS Postdoc Survey
  • In conjunction with the Associate Director, coordinate the administrative functions of the annual research scientist promotion process.

  • Assist the Associate Director with planning and implementing IGARP events and directing the Administrative Assistant in executing logistical details of such events.
  • Assist the AVPR and Associate Director with supervising the Administrative Assistant in executing logistical details of campus engagement activities.
