Job Overview

This role collaborates cross-functionally with internal teams and external stakeholders to provide exceptional support to PACCS leadership. This position will support the Public Affairs team, managing the flow of PACCS projects and events through the proper stages including strategic alignment, coordinating cross functional input and engagement, event planning and execution, maintaining and tracking activations, managing PACCS internal databases and communication tools, and developing presentations in partnership with leaders. The position will manage the cyber grant process, provide event support as needed, process product orders and invoices, procurement ordering and processing, and other duties as assigned.

Duties & Responsibilities

  • This position will coordinate PACCS projects and events, managing initiatives through the proper stages including strategic alignment, coordinating cross functional input, engagement, planning, and execution.
  • Leads and tracks projects, manages PACCS internal databases and communication tools, and develops presentations in partnership with leaders.
  • Manages the cyber grant process for the CLT region, coordinates procurement and final proposals for PACCS projects. Maintains the timely submission and coding of invoices, tracks, monitors, and reports on expenses to ensure adherence to department budget and goals.
  • Compiles leadership reports, coordinates and tracks scorecard metrics, leads PACCS onboarding for new teammates, plans retreats, team meetings and events. Coordinates with IT, facilities and other departments to ensure flawless execution.

  • Excellent attention to detail, avoiding errors and ensuring accuracy in tasks such as data entry, document preparation, scheduling and more.
  • Proficiency in office software, including Microsoft Office Suite and familiarity with office equipment are essential. Experience using Canva a plus.
  • Handling sensitive information with discretion and maintaining confidentiality is paramount, especially when dealing with executive correspondence and personnel records.
  • Innovative with ability to bring forward creative solutions and ideas.
  • Poised and professional are imperative traits as this role will work directly with Public Affairs leadership, but will also interact with leaders across the business on behalf of PACCS.

Minimum Qualifications

  • Associate's degree or up to 3 years of college or technical school.
  • Knowledge acquired through work experience 1 to up to 3 years.
