Responsibilities:

The Human Resources (HR) Service Specialist provides superior customer service and comprehensive administrative, clerical, and technical support to the Human Resources department. This role supports daily HR operations including records management, payroll coordination, employee support, HRIS administration, hiring process coordination, and policy interpretation. The Specialist serves as a primary point of contact for employees, applicants, and external parties in the absence of the HR Manager and demonstrates strong knowledge of HR systems, procedures, and confidentiality requirements.

  • Maintains all employee and management files. Updates staff information and updates licensure of staff members. Maintains and updates rosters, sends memos as appropriate per the staff's direction. Updates Millennium files for staff. Prepares files on all new staff members, requests verification of all appropriate information, including current licensure.

  • Responsible for the ordering, tracking, receiving and distribution of supplies.

  • Completion of employment verification and employee references as required.

  • Supports, fosters, communicates and works to align the Vision, Values, Purposes and Strategies of PHS and the Espanola Hospital in all dialogs with our customers. *Maintains and sustains knowledge base in Human Resources by participation in professional associations and attending educational sessions as appropriate or required.

  • Supports the Human Resources Department and team members in actions and behaviors.

  • Attends meetings as necessary.

  • Distribution of payroll resolves employee pay issues and processing garnishments.

  • Encompasses all responsibilities of a senior secretary for both the Human Resources.

  • Interacts extensively with representatives of various employers as it pertains to scheduling applicant interviews and all Employee Health and Occupational Medicine appointments and related services.

  • Researches and assembles marketing materials and drafts for administrative reports, statements, printing and rosters.

  • Plans and coordinates activities within the hospital for Human Resources and Occupational Medicine, keeps a record of all appointments and meetings and notifies the appropriate individuals of the same. Maintains a schedule in conjunction with the Manager of Human Resources/Occupational Medicine and Clinical Manager s personal calendar.

  • Participates in special task forces, advisory councils, and other planning committees and meetings. Attends seminars, workshops, and in-services as appropriate.

  • Opens and sorts mail, pointing out correspondence of interest, answers routine correspondence on own initiative, maintains files of correspondence and related materials.

  • Monitors department budget, account codes all invoices related to department.

  • Maintains Confidentiality in the handling of all HR and Occupational. Medicine matters at all times.

Qualifications:

Minimum Requirements

  • 1 year of Human Resources experience required.

  • Excellent written and verbal communication skills.

  • Demonstrated computer proficiency, including HRIS systems.

Preferred Requirements

  • 2-3 years of Human Resources experience.

  • 1-2 years of college coursework in Human Resources, Business Administration, or a related field.

  • SHRM, SHRMCP, or SHRMSCP certification preferred.
