DESCRIPTION

Under the supervision of the Clinic Operations Manager, the Front Desk Coordinator provides coverage across Cancer Center operations, including front desk, call center, and designated template support functions for Cancer Services in La Jolla, Hillcrest, Kearny Mesa and North County.

The Front Desk Coordinator supports patient-facing and operational workflows by greeting patients, performing check-in and check-out procedures, scheduling and updating appointments, and assisting with daily clinic operations. Scheduling responsibilities may include, but are not limited to covering, multiple Cancer Center Multi-Specialty Clinic areas at Moores Cancer Center, Koman Outpatient Pavilion, Multi-Specialty Clinics at McGrath Outpatient Pavilion in Hillcrest, Infusion and Fast Track, MRI, Imaging, and Laboratory Services. Duties may include, but are not limited, to patient registration, insurance and authorization verification, demographic updates, co-payment collection, cash drawer monitoring, report expediting, in-basket pool support, and close collaboration with physicians, nurses, clinic staff, leadership, and other UCSD departments.

The Front Desk Coordinator provides template support assistance to ensure clinic schedules are coordinated and function efficiently. Template support assistance includes, but is not limited to, supporting assigned template requests, assisting with basic template maintenance tasks as directed, monitoring for access or scheduling issues, escalating concerns to leadership or designated template owners, and communicating updates to clinic teams. The role supports clinic operations through coordination of template-related and other assigned duties.

The Front Desk Coordinator provides Call Center Specialist coverage, including answering multi-line incoming calls, completing online registration, verifying insurance, scheduling appointments, securing authorizations for scheduled services, and expediting Epic orders from routed referrals through the MUC work queue. The role also provides Clinical Care Coordinator coverage as needed, assisting with desk coverage and expediting new patient scheduling by reviewing Epic referral work queues.

The Front Desk Coordinator acts as a patient liaison by responding to inquiries, coordinating appointments, assisting with admissions when applicable, and supporting patient-related requests. Additional duties include administrative support, calendaring, and other duties as assigned based on operational needs.

MINIMUM QUALIFICATIONS
  • Three (3) years of relevant experience working in a large healthcare organization.

  • Prior scheduling experience.

  • Proven knowledge of third-party payors, including federal, state, and private health plans.

  • Experience with patient check-in/check-out and cash handling.

  • Demonstrated experience with insurance and authorizations.

  • Knowledge of appointment scheduling systems, preferably Epic.

  • Possess strong computer skills and be able to work between multiple systems during calls.

  • Must have excellent customer service skills.

PREFERRED QUALIFICATIONS
  • Oncology experience.
  • Outpatient experience.
  • Epic-Cadence experience.
  • Experience supporting clinic templates.
  • Experience with varied scheduling workflows.
  • Bilingual English/Spanish.
SPECIAL CONDITIONS
  • Must be able to work various hours and locations based on business needs.
  • Must be able to cover overtime and/or holidays as needed.
  • Work locations include La Jolla, Hillcrest, Kearny Mesa and North County as needed.
  • Employment is subject to a criminal background check and pre-employment physical.

Pay Transparency Act

Annual Full Pay Range: $72,328 - $72,328 (will be prorated if the appointment percentage is less than 100%)

Hourly Equivalent: $34.64 - $34.64

Factors in determining the appropriate compensation for a role include experience, skills, knowledge, abilities, education, licensure and certifications, and other business and organizational needs. The Hiring Pay Scale referenced in the job posting is the budgeted salary or hourly range that the University reasonably expects to pay for this position. The Annual Full Pay Range may be broader than what the University anticipates to pay for this position, based on internal equity, budget, and collective bargaining agreements (when applicable).
