Job Title: Practice Coordinator

Location(s): San Francisco, CA

Position Overview
This role supports daily clinic operations in a high-volume, patient-facing healthcare environment. The Practice Coordinator / Administrative Clinic Support professional will provide administrative, scheduling, and coordination support while delivering excellent customer service to a diverse patient population. The position requires strong organizational skills, comfort with multiple patient systems, and the ability to work independently in a fast-paced setting.

Required Qualifications

  • High school diploma or equivalent with 4 years of related experience, OR college degree with 6 months of related experience, OR an equivalent combination of education and experience.
  • Strong written communication skills, including the ability to compose, edit, and proofread a variety of documents.
  • Demonstrated administrative and office coordination experience.
  • Working knowledge of medical practice terminology.
  • Basic math skills and ability to perform cash-handling duties.
  • Ability to interact sensitively and effectively with patients.
  • Strong organizational, analytical, and problem-solving skills.
  • Ability to prioritize tasks, meet deadlines, and work with minimal supervision.
  • Proven ability to exercise sound judgment under pressure.
  • Excellent customer service and interpersonal communication skills (in person and via telephone).
  • Strong computer proficiency, including keyboarding and experience with Office tools (Outlook, Word, Excel).
  • Demonstrated ability to navigate multiple patient record and scheduling systems.
  • Ability to successfully pass fingerprinting and obtain approval as a cash collector
Core Responsibilities (Training-Based Proficiency Within 6 Months)
Upon completion of training, the employee is expected to demonstrate proficiency in the following areas, as applicable:
  • Referral intake and management (incoming referrals and referral work queues).
  • Pending orders and smart sets.
  • Surgical scheduling.
  • Work queue processing.
  • CRM messaging and follow-up activities (including second calls and telephone encounters).
  • Management of open encounters and staff messages.
  • Patient messaging workflows.
  • MyChart workflows (patient advice requests, scheduling, routing to providers).
  • Patient check-in and check-out processes.
  • Patient lookup and documentation.
  • Letters, pools, routing, and internal messaging tools.
  • Comment fields and quick notes.
  • Scanning and document management.
Preferred Qualifications
  • SFDPH Eligibility Basics Certification.
  • Bilingual or multilingual skills, Spanish strongly preferred.
  • Prior healthcare experience (medical, dental, or veterinary), particularly in:
    • Patient scheduling.
    • Insurance verification.
    • Medical record abstraction.
    • Patient financial services.
  • Experience with appointment, ancillary service, and/or surgical scheduling.
  • Prior experience using EPIC.
  • Knowledge of community-based HIV service agencies and HIV-specific assistance programs.
  • Experience providing services to HIV-positive individuals in a clinic-based setting.

Shift:

  • Day Shift, 5x8 (08:00-17:00)
