The Administrative Assistant provides essential administrative support to the SMAS program. Under general supervision, this role supports daily office operations, maintains records, and delivers high-quality customer service to program staff and stakeholders. The Administrative Assistant exercises independent judgment in applying established procedures and plays a key role in supporting an efficient, well-organized office environment.

Key Responsibilities

  • Provide professional customer service and administrative support to program staff, management, and visitors.
  • Perform routine clerical duties, including document preparation, data entry, filing, and records management.
  • Maintain organized and accurate program files and records in accordance with established procedures.
  • Apply independent judgment when interpreting and following standard office processes and guidelines.
  • Support scheduling, meeting coordination, and general office logistics, as assigned.
  • Assist with correspondence, reports, and other routine documentation.
  • Ensure a high level of accuracy and attention to detail in all work products.
  • Use basic word processing and computer applications to support office operations.
  • Communicate effectively and interact professionally with individuals of diverse backgrounds and all organizational levels.

Required Education and Training

  • High school diploma or GED required.

Required Experience

  • Minimum of 5 years of clerical and/or customer service experience.
  • Additional related education may be substituted for required experience.
  • Demonstrated workplace proficiency with widely used office technology and digital tools (e,g, Microsoft 365, Teams, Sharepoint, etc.) in support of an efficient and well-connected program office.
