Executive Coordinator

What you will be doing:

The Executive Coordinator will provide support to one or more members of Premier's Executives or Senior Leaders, acting with minimum supervision, anticipating needs while managing the day-to-day workflow and prioritizing various projects, which includes scheduling, travel management, contact management, preparing materials for meetings, and participating in a wide range of special projects. The Executive Coordinator will perform, coordinate, and oversee administrative duties while providing an extensive level of support. This will enable the supported team to work more efficiently and effectively towards reaching the organization's growth goals.

The Executive Coordinator will have proven organization and time management skills to complete a high volume of varied responsibilities in a fast-paced setting with excellent attention to detail. Have superb communication skills and produce well thought-out, professional correspondence free of grammatical and spelling errors.

Be an excellent relationship builder; able to demonstrate a high level of tact, discretion, and diplomacy with all internal and external stakeholders. Must also demonstrate ability to maintain confidential/sensitive information.

Key Responsibilities

Responsibility #1- 60%

  • Extensive knowledge of MS Outlook, MS Word, MS Excel, and MS PowerPoint

  • Maintain the Executive's schedule, including day-to-day and long-term management of meetings, projects, and priorities

  • Schedule all meetings and travel, including prioritizing meetings and communicating all relevant details to participants

  • Balance conflicting priorities to manage workflow, ensure the completion of essential projects, and meet critical deadlines

  • Ensure Executives are prepared for upcoming appointments by gathering materials necessary for each meeting

  • Collect and assemble information for presentations, projects, and strategic planning

  • Coordinate with HR department for recruiting and onboarding of new employees

  • Serve as the first point of contact for a wide variety of high-level relationships between Executive Team and external contacts

Responsibility #2 - 30%

  • Manage and regularly update customer contacts in database

  • Handle phone, email and postal mail inquiries and respond appropriately

  • Draft and edit correspondence, articles, reports, and presentations

  • Coordinate and manage special projects, including working collaboratively with staff to assure projects meet deadlines

Responsibility #3 - 10%

  • Take on tasks to support the work of Premier's programs, operations, and overall mission

  • Work as a member of the team, willingly providing back-up support for co-workers when appropriate and actively supporting group goals

  • If on a team with other administrative coordinators, act as a mentor and help to coach and train less experienced administrative staff.

  • May travel with executives to industry events.

Required Qualifications

Work Experience:

Years of Applicable Experience - 4 or more years

Education:

High School Diploma or GED (Required)

Preferred Qualifications

Skills:

  • Secretarial work

  • Senior level administrative work

Experience:

  • Executive team support

  • Customer service experience

Education:

  • Bachelor's degree

Working Conditions: Remote Travel Requirements: Travel 1-20% within the US Physical Demands: Sedentary: Exerting up to 10 pounds of force occasionally, and/or a negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects, including the human body. Sedentary work involves remaining stationary most of the time. Jobs are sedentary if movement is required only occasionally, and all other sedentary criteria are met. Premier's compensation philosophy is to ensure that compensation is reasonable, equitable, and competitive in order to attract and retain talented and highly skilled employees. Premier's internal salary range for this role is $62,000 - $93,000. Final salary is dependent upon several market factors including, but not limited to, departmental budgets, internal equity, education, unique skills/experience, and geographic location. Premier utilizes a wide-range salary structure to allow base salary flexibility within our ranges.
