The Export Documentation Specialist is responsible for preparing and managing all export documentation to ensure compliance with U.S. and international trade regulations. This role will coordinate shipments, including hazardous materials (Hazmat), and maintain accurate records for audits and regulatory requirements. DUTIES & RESPONSIBILITIES
  • Prepare and review export documentation, including commercial invoices, packing lists, bills of lading, customs declarations
  • Manage Hazmat shipping documentation in compliance with DOT, IATA, IMDG regulations
  • Ensure shipments meet international trade regulations, customs requirements, and company policies
  • Work with freight forwarders, carriers, and logistics providers to arrange transportation
  • Maintain accurate records of shipped goods and update inventory systems
  • Communicate with sales and customers to verify accuracy of shipping instructions and ensure adherence to customer and regulatory requirements to ensure timely delivery
  • Address shipping delays, documentation errors, or customs issues promptly
  • Maintain export records for internal audits and government reporting
  • Monitor regulatory changes and update processes accordingly
  • Support internal teams with export compliance training and guidance
QUALIFICATIONS
  • HIgh school diploma or equivalent (logistics or supply chain certification preferred)
  • 3+ years in export documentation and international shipping.
  • Proven experience with Hazmat shipping regulations (DOT, IATA, IMDG).
  • Hazmat/Dangerous Goods certification preferred.
  • Data entry with Ten-Key
KNOWLEDGE, SKILLS & ATTRIBUTES
  • Strong knowledge of EAR, ITAR, and ECCN classification.
  • Proficiency in MS Office and ERP systems.
  • Excellent attention to detail and organizational skills
  • Ability to work independently, manage multiple priorities and meet strict deadlines
  • Strong communication skills for cross-functional coordination
