Organizational Unit Overview
The Division of Administration and Finance is ultimately responsible for all financial and administrative activities of East Carolina University and its affiliated Foundations. The Division consists of Financial Services, Campus Operations, Information Technology and Computing Services, People Operations, Success and Opportunity, Environmental Health and Campus Safety, Auxiliary Services and various support activities related to the ECU affiliated Foundations. The Division is led by the Vice Chancellor of Administration & Finance. The Vice Chancellor is responsible for oversight of the policies, personnel, budgets and administrative activities of all operations at East Carolina University and its affiliated Foundations. This division is a service provider in support of academic, research, and outreach missions of the University. Within the Division, Financial Services is responsible for financial activities of East Carolina University and its affiliated Foundations. The mission of Financial Services is: To provide for the financial needs of the University and its Foundations in a customer-oriented, friendly environment while assuring the proper stewardship of all fiscal resources.

The Financial Services/Foundation unit, a part of the University's Division of Administration and Finance, is responsible for all financial activities of the East Carolina University Foundation, Inc., the ECU Real Estate Foundation, Inc., Green Town Properties, Inc., the ECU Innovation Foundation, LLC, and the East Carolina University Educational Foundation, Inc. (Pirate Club). It is responsible for the management of over $300 million of assets, $25 million of annual gifts, and $25 million of expenditures each year that provide support to the University and its programs.
Job Duties
This position will assist the Director and Assistant Director of Gift Records with revenue processing and data entry for ECU, ECU Foundation, Inc., and ECU Health Foundation, Inc. This includes but is not limited to processing multiple types of gifts, matching gifts, and other non-gift revenues. These processes are completed using the Foundation's Customer Relationship Management ( CRM) software, and the University's Enterprise Resource Planning ( ERP) system. This position will serve as a backup for other processes within the department, such as fund creation/maintenance and Alumni Relations deposits. This position will also assist with the handling of memorial contributions, assist with special projects, filing/scanning and any other tasks deemed necessary by the Director of Gift Records.

Gift Processing - Cash, checks, and credit card revenues are received in the Office of Gift Records and are opened, logged, copied, scanned, and processed. This position will be responsible for a variety of tasks in the process which will include initial processing, assignment of ONE ID numbers, proper application of fund numbers, applying appeal codes and checking for outstanding pledges for payments to be applied. Gifts also include other notations that are to be processed and tracked, including honorary and memorial gifts.

Non-Gift, Matching Gifts, and Non-Cash Gift Processing - This position will also assist in processing other revenue including stock gifts, gifts in kind, soft credits, external tele-fund, and e-commerce revenues. These typically involve the same research but additional consideration due to being non-cash or electronic payments.

Backup/Support for Fund Creation/Maintenance and Alumni Relations Deposits - This position will assist with fund creation and maintenance in the University's Customer Relationship Management ( CRM) software. This position will also serve as backup for Alumni Relations deposits on a regular basis when processing staff are out of office.

Reconciliations and Gift Management
- Other duties that the position will assist in includes cash reconciliation/matching, gift corrections, transfers, and donor changes. Assistance with these tasks will include processing of journal entries in the ERP system. This position will also assist in manual pledge reminders and clearing fund reconciliation reports.
Minimum Education/Experience
High school diploma or equivalency and one year of related office experience; or equivalent combination of training and experience.
