Primary Purpose of Organizational Unit
Transition Programs is an organizational unit within the Division of Student Affairs, reporting directly to the Vice Chancellor of Student Affairs. The Office of Transition Programs provides a comprehensive array of programs designed to meet the unique needs of undergraduate students and parents from orientation through graduation. Programs generate an intentional connection for the students through engaging interactions with other students, faculty and staff.

Some of the programs supported by the Office of Transition Programs are:

Brief Summary of Work for this Position
The Business Services Coordinator of Transition Programs is responsible for maintaining accurate budget records, providing detailed financial reports to the Director, and supervising 4-6 student employees who manage incoming emails, phone calls, and greet visitors. This role oversees the payroll process for over 100 students, manages office operations, supports events such as First-Year and Transfer Orientation and Commencement, and maintains inventory for large-scale programs. The coordinator ensures high-quality customer service to students, families, faculty, and staff.

Key Responsibilities:

  • Manage budgets by tracking transactions, reconciling financial records, ordering supplies, and processing financial systems.
  • Collaborate with the Director and Budget Officer to monitor office funds.
  • Supervise, interview, hire, train, and schedule student employees year-round.
  • Oversee the student payroll process, including entering EPAFs and ensuring accurate timesheet submissions.
  • Assist with the preparation and implementation of departmental programs and events.
  • Schedule and manage Orientation Leaders during training and orientation periods.
  • Support professional staff searches by coordinating interviews and travel arrangements.
  • Maintain an orderly office environment and track inventory.
  • Provide excellent customer service through effective communication.

Minimum Education and Experience Requirements
Bachelor's degree in business administration or a related discipline; or an equivalent combination of training and experience. All degrees must be received from appropriately accredited institutions.
Preferred education, professional skills and experience

  • Experience in Microsoft Excel.
  • Strong knowledge and practice with Banner Financial System.
  • Superb organizational skills, effective written and oral communication skills, and the ability to multi-task effectively and accurately in a high energy fast-paced environment.
  • Ability to retain knowledge of complex procedures, policies and regulations.
  • Understanding of basic financial and accounting principles.
