Job Summary

Under the general direction of the Research Manager, the Research Administrator 3 is responsible for analyzing and reconciling more than $17 million in contract and grant expenditures to ensure alignment with budget projections. The role requires seasoned expertise in research administration, including independent management of complex proposals and awards involving multiple investigators and subawards, full compliance with sponsor and institutional policies, and guidance to less experienced staff.

Key Responsibilities

  • Analyze and reconcile contract and grant expenditures to ensure accuracy and alignment with budgeted projections.
  • Independently develop, manage, and oversee research awards and related transactions in compliance with sponsor and institutional policies.
  • Maintain complete and accurate contract and grant records.
  • Prepare and process financial and award-related transactions for institutional approval.
  • Manage complex proposals and awards, including those with task budgets, option years, multiple investigators, and multiple subawards.
  • Provide guidance and support to less experienced research administration staff.
  • Research issues, analyze financial data, prepare reports, and make recommendations.
  • Meet monthly with Principal Investigators to review account status and financial activity.
  • Provide accurate monthly financial reports to PIs, the CAO, and the Finance Manager.
  • Develop budget projections and make adjustments as needed to maintain financial accuracy.
  • Oversee purchasing, invoice processing, and expense reimbursements for contracts and grants in accordance with approved budgets.

Minimum Qualifications - For full consideration, applicants are encouraged to upload a license and/or certification if required for the position

  • Bachelor's degree in Finance, Accounting, Health Administration, or related field of study, and/or equivalent experience and training
  • Experience performing complex financial analysis and customized reporting
  • Experience managing a significant volume of transactions in a fast-paced environment
  • Thorough understanding of research administration guidelines of Federal and non-Federal sponsors supporting research and educational activities, preferably in a university environment
  • Thorough knowledge of applicable compliance requirements related to the use of human or animal subjects in research, financial conflict of interest, biosafety, etc.
  • Demonstrated competence in the use of spreadsheet and database software in financial analysis, fiscal management, and financial reports
  • Skills to maintain independent judgment; strong organization and communication skills; and a customer service focus across broad and diverse subject areas
  • Current knowledge of compliance regulations in all areas of research administration
  • Demonstrated knowledge of generally accepted accounting, fiscal, and reporting principles

Preferred Qualifications

  • Completion of the UC Davis Research Administration Certificate Series program
  • Knowledge of the UC Davis Systems, including Aggie Enterprise, Aggie Expense, Oncore, UC Path, and Cognos
