Job Summary:

A center for global excellence in undergraduate and graduate education and research, Northwestern's Department of Physics & Astronomy (P&A) seeks a self-directed Financial Coordinator to help support its mission. The Financial Coordinator supports the financial operations for P&A, ensuring accurate recording of financial transactions and positive experience for all P&A faculty, staff, and students.

This is a full-time position that works largely on-site with some opportunities for remote work.

The target hiring range for this position is between $53,000 - $62,500 per year. The salary offered will be determined by the applicant's education, experience, knowledge, skills and abilities, as well as internal equity and alignment with market data.

Specific Responsibilities:

Student Funding:

  • Responsible for the accurate recording, input, and completion of quarterly graduate student funding data.
  • Responsible for the hiring process and management of student temporary workers and high school temporary workers.

Financial Administration:

  • Complete monthly PI account reviews and reconciliations to ensure that the PI accounts are accurately updated, reconciled and monitored. Track PI's various funding sources and ensure transactions are charged correctly. Identify and monitor areas of risk within faculty spending on sponsored projects.
  • Organize, process, and submit expense reports and other financial transactions and ensure accurate record keeping and completion.
  • Ensure financial integrity by identifying and processing journal entries, cost corrections, and payroll transfers, as needed. Follow through to ensure payroll and financial transactions are approved and completed; this involves but is not limited to entering and monitoring transfer and correction journals, updating position funding, and investigating expenses.
  • Enter and monitor the successful completion of Additional Pay requests for the department.

Regulatory Compliance:

  • Ensure compliance with all applicable federal, state, local and Northwestern laws, regulations, policies and procedures. Develop innovative methods to assist faculty and staff with adherence to compliance programs.

Administration:

  • Respond to faculty and staff inquiries regarding spending, hiring, funding and allowability in a timely manner.

Miscellaneous

Performs other duties as assigned.

Minimum Qualifications:

  • Successful completion of a full 4-year course of study in an accredited college or university leading to a bachelor's or higher degree in a major such as business, accounting or related; OR appropriate combination of education and experience.
  • 1 year financial, budgeting &/or preparing account reconciliations or financial statements along with financial analysis or other relevant experience.

Minimum Competencies:

  • Strong financial acumen and computer skills
  • Ability to work independently
  • Self-motivated and takes initiative
  • Resourcefulness and reliability

Preferred Qualifications:

  • At least three years financial management experience
  • Previous higher education experience
